Branch Administrative Assistant II

The Branch Administrative Assistant II plays an important role in the organization by performing a number of tasks related to the branch's administrative functions. The role is primarily responsible, under intermittent supervision, for performing full administrative duties in support of the branch office by providing customer service, conducting research, preparing reports, handling information requests, ordering supplies and performing clerical functions such as preparing correspondence, copying, filing, faxing, and scheduling meetings. Essential functions include providing clerical assistance to processors, printing and mailing disclosure documents, contacting escrow companies, assisting in auditing loan files, providing assistance to branch manager and operations manager, answering incoming calls, collecting and distributing mail, assisting in the preparation and delivery of mailings, maintaining office supplies inventory, partnering with IT helpdesk, performing general clerical duties, making copies, maintaining a tidy office space, monitoring and reconciling invoice discrepancies, composing correspondence, coordinating events, creating and updating forms, and performing other duties as assigned. Qualifications include a high school diploma or equivalent, three years of experience in an administrative assistant role, ability to type 60-70 wpm, passion for customer service, diplomacy, tact, and confidentiality, proficiency with data entry and Microsoft Office, ability to manage multiple priorities, excellent communication skills, self-motivation, attention to detail, and commitment to company values.
