Legal Assistant
Aalis Management Consulting seeks a Legal Assistant who provides critical administrative and litigation support to attorneys and paralegals in the Criminal and/or Civil Division. Under the guidance of the Supervisory Legal Assistant, this role ensures the efficient preparation, organization, and management of legal documents, court filings, and case files. The ideal candidate is detail-oriented, proficient in legal procedures, and adept at multitasking in a fast-paced environment. Key Responsibilities: Draft, format, and finalize legal documents, correspondence, and pleadings. Assist attorneys in trial preparation, including organizing exhibits, notebooks, and evidence. Scan and upload discovery materials into automated systems. Maintain and update court calendars, tracking deadlines and hearings. Case File Management: Organize and maintain physical and electronic case files, ensuring proper documentation and compliance. Close and archive case files per established protocols (onsite storage and offsite shipping). Review files for completeness, correcting omissions, and verifying proper closure procedures. Court Filings & Administrative Support: Assist with electronic filings (CM/ECF) in federal and/or state courts (training provided). Serve as a backup receptionist, greeting visitors and handling phone inquiries. Support the Administrative Division with special projects (e.g., mail distribution, court runs, office moves). Additional Duties: Collaborate with paralegals and attorneys on ad-hoc tasks. Ensure confidentiality and security of sensitive legal materials. Qualification, Education & Experience: Required: High school diploma or equivalent. Preferred: Associate degree or certification in legal studies, paralegal studies, or related field. Experience: 2+ years in a legal setting (law firm, government agency, or corporate legal department). Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook). Familiarity with legal software (e.g., CM/ECF, document management systems). Ability to learn new systems quickly (training provided for specialized tools). Key Competencies: Accuracy in document preparation and file management. Ability to prioritize tasks and manage deadlines. Professional verbal and written skills.
