ExCEL Administrative Coordinator
Location: Great Hearts Texas, Home Office in San Antonio, TX Department: ExCEL Programs (Extra-Curricular, Co-Curricular, and Extended Learning Programs) Reports to: Sr. Director of ExCEL Programs FLSA: hourly, non-exempt, benefits eligible Position Summary: The ExCEL Administrative Coordinator will support Great Hearts Texas' growing school programs as a member of the ExCEL Team, responsible for building, strengthening, and implementing robust high-quality programmatic offerings during out-of-school time, extending the mission and vision of Great Hearts. The Administrative Coordinator will provide high-level administrative support to the ExCEL Team and the Sr. Director of ExCEL Programs. The individual in this role will assist with the team's daily operations, administrative tasks of special projects, record keeping, data collection, standardization of operating procedures, and deliver a wide variety of other complex and confidential administrative tasks to ensure the smooth running of the Extra-Curricular, Co-Curricular, and Extended Learning Programs. Roles and Responsibilities / Success Profile: The ExCEL Administrative Coordinator will have roles and responsibilities aligned to the list below. This individual must possess: Impeccable self-organization, time management, and follow-through skills, Strong communication (both written and verbal) skills, Attention to detail and consistency, Understanding of logistical, programmatic, procedural, and fiscal operations of school programs, Ability to work independently and within a team on special nonrecurring and ongoing projects and operations. Ability to exercise strong judgment and discretion with sensitive and confidential matters. Ability to demonstrate a high level of professionalism and impeccable customer service with internal and external stakeholders. Must hold a positive, respectful, and honest approach to collaboration, communication, teams, and community. Unproductive behaviorssuch as gossip or any form of disruptive dramaare not tolerated, as they undermine our collective success and expectation of relentless goodwill. Specific responsibilities include but are not limited to: Manage standing ExCEL team meeting agendas, notes, and next steps Build agendas, attend meetings, produce meeting minutes as needed. Create and disseminate reports as needed Update and maintain departmental policies, procedures, documents, and database systems. Support data and record collection, tracking, and analysis Support review of data and documents for accuracy and correctness On behalf of the ExCEL department and the Sr. Director of ExCEL Programs serve as a liaison with internal/external stakeholders. Provide administrative and operational support to ExCEL team members Other duties as assigned. Qualifications, Competencies, and Strengths Education and Experience: Bachelor's degree preferred, or in lieu of a bachelor's at least three years' experience in school programs, management, and classical education. Strong Microsoft Office (Excel, Word, Outlook, PowerPoint) skills, experience with HRIS systems, Adobe Acrobat, and talent acquisition and management systems preferred. An interest in and passion for classical education, building community, innovation, and business operations. Clearance/Other Requirements: Must complete Texas Department of Public Safety fingerprint clearance and background check. Ability to travel up to 15% of the time between schools and GHTX regions. Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 50 pounds approximately.
