Office Technician Position
Benton County is currently accepting applications for a full-time Office Technician position in the Recorder's Office within the Land Services Department. Application Review Timeline: This recruitment will remain open until the position is filled. Applications will be reviewed on a rolling basis, with the first pull and review beginning Monday, July 07, 2025. It is yet to be determined if there will be a second pull date. Interview Process: Initial interviews will be conducted by phone on Tuesday, July 22, 2025. Followed by in-person interviews for those candidates selected to move forward in the interview process. In-person interviews are tentatively scheduled for Monday, July 28, 2025. Please monitor your email for updates and additional information. Position Summary: Provide administrative and clerical support to the Department regarding service activities. Essential Duties and Responsibilities: A. Processes and records legal documents in accordance with statutory requirements. A.1. Records plats. A.2. Performs data entry, scans, and indexes documents. A.3. Processes applications for birth and death certificates; issues marriage licenses, marriage certificates, and military discharges. A.4. Processes Uniform Commercial Code records. A.5. Records tax liens. A.6. Records and files ordination credentials. A.7. Registers notary signatures. B. Generates rejection letters to submitters for all documents that do not meet recording criteria. C. Generates certified and uncertified documents. D. Calculates monthly billing statements for document requests and land record subscriptions and processes payments. E. Reviews and accepts homestead applications. F. Provides guidance and support for Century Farm research and genealogy. G. Provides technical information to lawyers, abstractors, realtors, other County personnel, and the general public. Office Technician - Global (All Addendums) Duties and Responsibilities: A. Perform data entry into various department systems. B. Provide customer service, in-person, by phone, and by email. B.1. Answer phone; provide information and assistance. B.2. Assist in-person contacts. B.3. Prepare and mail reports. C. Assist in the preparation of bank deposits and deliver deposits to the bank. D. Manage, scan, and image office records. E. Collect various money and receipt payments. F. Balance cash drawer. Additional Functions: A. Attends trainings as needed. B. Telephone Back-up Department. C. Performs other duties as assigned or apparent. Minimum Qualifications - Training and Experience Required: A. High School Diploma or Equivalent; and B. Two years of relevant work experience: OR C. Equivalent combination of education/training/experience. D. Must successfully complete a background check. E. Must possess a valid driver's license and be able to drive in the state of Minnesota. F. Obtain and maintain certifications and licensures. Minimum Knowledge, Skills, Abilities, Physical Demands and Working Conditions Required: A. Knowledge and skill in clerical functions, Microsoft Office Suite, and computer database operation. B. Ability to provide optimal customer service skills. C. Ability to interpret a variety of instructions furnished in written or oral forms. D. Ability to communicate effectively, orally and in writing, and have strong positive public relations skills. E. Ability to establish and maintain effective working relationships with others. F. Ability to handle various assignments and problems under moderate supervision within standard operating procedures. G. Ability to use considerable analytical ability to select, evaluate, and interpret data from several sources; interpretation of guidelines, policies, and procedures is required. H. Effective communication with department and other departments, outside agencies, and the public on specialized matters requiring detailed or technical responses/explanations. I. Ability to travel within your daily work assignment. J. Ability to travel within Minnesota, including overnight stays. K. Ability to work extended, evening, and weekend hours as needed. L. Must comply with organizational and departmental policies. M. Performs physical/mental demands of the work environment requirements for this position. N. Attendance during regularly scheduled work hours, and outside regular hours, as necessary. O. Effective and respectful communication and interactions with other employees, supervisors, individuals from different organizations, and citizen customers. P. Must comply with data practices policies and standards relative to private data. Any access to private data should be strictly limited to accessing the data that is necessary to fulfill the employment responsibility. While data is being accessed, employee should take reasonable measures to ensure the private data is not accessed by individuals without a work reason.
