Legacy Traditional Schools Transportation Specialist

Position Summary The Transportation Specialist supports the daily execution of student transportation services at the campus level. This position ensures that all students assigned to transportation are accounted for, manages ridership tracking, maintains accurate attendance records, and serves as a liaison between the school and families to ensure efficient and safe transportation logistics. The specialist is responsible for responding to ridership changes, student no-shows, and other transportation-related concerns in a timely and organized manner. Key Responsibilities Maintain and manage daily student transportation rosters.
Monitor and track ridership and attendance patterns.
Address and resolve no-shows, unexpected ridership changes, and other transportation issues.
Communicate effectively with families about transportation logistics and concerns.
Enter and maintain up-to-date transportation-related data in the appropriate systems.
Ensure student safety and accountability during arrival and dismissal processes.
Attendance Oversight Review, reconcile, and update attendance records daily in Infinite Campus (IC).
Process and file medical documents received through email or phone transcriptions.
Apply appropriate attendance codes in IC as per established guidelines (Modules 1, 14, 16, 17).
Collaborate with the Registrar for document management and attendance record filing.
Collect and input attendance data from Sub Rosters across schools.
Reconcile attendance in accordance with outlined procedures and maintain a daily reconciliation binder.
Run and distribute the daily "Absent Today" report for each campus.
Track and report absences and tardies using the Attendance Tracker Google Spreadsheet.
Communication and Outreach Contact parents/guardians regarding student absences via phone or email.
Conduct 5-day calls based on Weekly Attendance Letters and document communication in IC and ParentSquare.
Record call responses and outcomes in the Phone Tracker spreadsheet.
Participate in home visits, parent meetings, and MTSS meetings as needed.
Coordinate with the Chronic Absenteeism Coordinator in weekly meetings.
Weekly and Monthly Reporting Run and send Weekly Attendance Letters through IC Message Builder or ParentSquare.
Generate and record Monthly Attendance Percentage Reports.
Review Health Assistant reports and update related records in IC and the Health Assistant Tracker.
Monitor for Consecutive Unexcused Absences and recommend 10-day withdrawals as appropriate.
Submit detailed daily, weekly, and monthly Accountability Reports.
Campus and Team Support Rotate visits to assigned campuses on a weekly/monthly basis or as needed.
Provide front office assistance during peak periods or staff absences (e.g., arrival, dismissal, special events).
Support secretarial and office operations when required.
Qualifications High school diploma or equivalent (associate's degree preferred).
2+ years of administrative or school operations experience, ideally in transportation or attendance roles.
Strong organizational and data management skills.
Proficiency in Infinite Campus (IC), Google Suite (especially Google Sheets), and communication platforms such as ParentSquare preferred.
Excellent verbal and written communication skills.
Ability to multitask and remain detail-oriented in a fast-paced environment.
Strong interpersonal skills to collaborate with school staff, students, and families.
Working Conditions Will require travel to various campuses.
Occasional evening or weekend availability for meetings or home visits.
Must be comfortable working in an office and campus environment with high levels of student interaction.
