Administrative Assistant I/II/III
Job Title: Administrative Assistant II Supervisor: Administrator to the Mayor Classification: Classified FT/PT Status: Full Time FLSA Status: Non-Exempt Benefits: Medical, Dental, PERS, and Life Insurance Description: Provides assistance to the Mayor's office, Administrator to the Mayor and other directors. Includes project management, correspondence and file management. Reports directly to the Administrator to the Mayor. Duties: Provide daily administrative and clerical support to the Office of the Mayor and other directors. Manages and organizes the Mayor's daily activities, and includes secretarial, office support, ceremonial, media and public contact work, often of a confidential nature. Manages the Mayor's correspondence, completing required state forms for elected officials, preparing a variety of ceremonial documents and gifts. Organizes and maintains the Mayor's files and researches issues at the Mayor's direction. Assists with the general donations. Acts as back up to the front desk. Utilizes considerable independent judgment and discretion in managing office operations, handling calls, office visitors and mail, arranging conferences and meetings, answering or transferring requests for information and performing other important public relations activities. Assists the Mayor during community events, presentations and appearances. Manages and coordinates the Mayor's daily calendar; making travel arrangements and completing travel requests, completing purchase orders and filing expense reports as needed. Oversees the maintenance of personnel records, supporting and assisting with systemization of those records. Assists the Administrator to the Mayor with minor human resource assistance, including maintenance of personnel records, training, risk management activities and research as needed. Assists the Administrator to the Mayor to ensure the completion of new-hire paperwork, ensuring all new employees receive completed information on company culture, policies and their benefits Other duties as assigned. Minimum Requirements: High school diploma or equivalent required. Minimum two years' administrative experience Possess proficiency and skills in Microsoft Office. Ability to work independently and under pressure. Excellent analytical and organizational skills: effective verbal and written communication skills
