Central Staffing Coordinator
Reporting to the Director of Central Staffing Operations, the Central Staffing Coordinator will ensure efficient and effective deployment of staffing resources to patient care units throughout the ARH organization. Requires and utilizes an in-depth knowledge of unit, departmental, and organizational policies to guide appropriate placement of resources. Collaborates with nursing and unit-based leadership as resources are moved fluidly throughout the organization. This position also provides support to leadership/operations with tasks including but not limited to staff scheduling, assisting with New Employee Orientation/onboarding, running and maintaining reports, monitoring payroll, etc. To best support nursing leadership/operations, this position may have regular access to confidential information as it relates to employee attendance, department budgets, and/or employer to employee relationships. Special Instructions
This is a hybrid position. This will be remote with some travel required in the KY and WV region. Responsibilities
Proactively schedules and reassigns staff to ensure the most qualified, cost-efficient staff are matched to the current needs, using the knowledge of hospital, nursing, and Central Staffing Office policies and procedures. Communicates regularly with unit-based leadership and staffing colleagues in all hospitals to discuss resources needed, opportunities for colleague reassignment, and admission capacity. Communicates directly with patient care colleagues through a variety of methods for the purpose of increasing the colleagues' availability and flexibility to meet the needs of the patient care units. Books available colleagues to open shifts. Enters accurate scheduling, attendance, and timekeeping information into appropriate scheduling software packages. Runs a variety of reports from different programs to provide an accurate picture of where current resources are assigned. Assists in orientation and training of new Central Staffing Coordinators. Recommends appropriate changes in staffing policies as needed to promote efficient and effective assignment of resources. Reports any identified or unresolved problems to appropriate Central Staffing Office leadership for additional follow-up. Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps identify problems, offer solutions, and participate in their resolution. Maintains the confidentiality of information acquired pertaining to patient, physicians, associates, and visitors to ARH. Discusses patient and hospital information only among appropriate personnel in appropriately private places. Behaves in accordance with the Mission, Vision and Values of ARH. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management. Works collaboratively with department Clinical Nurse Managers/leaders to arrange orientation of staff, including setting up orientation schedules. Provides exceptional customer service, showing respect in every interaction and building trust; demonstrates adherence to the ARH Culture Statement. Enters, monitors, and reports departmental data and information as needed or requested. Takes personal accountability for completing assigned tasks and seeks new opportunities to provide high-quality work/service. Acts as a resource, responds to questions, and provides support to department staff as it relates to payroll, time off, policies, procedures, education, and scheduling. Works as a team player in a diverse workforce and looks for ways to improve interactions with all co-workers, contributing to a welcoming and helpful environment. Identifies, documents, and provides feedback to management on issues that are observed as having an impact on operations and employees. Performs other duties as assigned. Education (experience can be substituted for education) High School Diploma Required. Associate's Degree in Business Administration, Healthcare or related field. Preferred. Work Experience (education can be substituted for experience) 1-3 years One (1) year of experience in an administrative support role or customer service-related field Required. 1-3 years Three (3) years of experience in an administrative support role. Preferred. Knowledge, Skills and Abilities Excellent verbal and written communication skills. Above average computer skills. Experience with word processing, database, and spreadsheet software programs. Must independently recognize and evaluate situations for the level of urgency. Experience in providing a high level of customer service. Strong emotional intelligence and empathy. Must be detail oriented and accurate. Ability to multi-task and prioritize tasks. Displays an aptitude and willingness to learn new responsibilities. Flexible and innovative. Dependable and reliable in achieving goals.
