Job Title
Key Responsibilities: For CEO: Manage and maintain the CEO's complex schedule, including travel and conferences, setting, confirming, and amending all appointments, act as traffic controller and gate keeper with those requesting time with CEO. Attend meetings with the CEO when necessary to be able to coordinate and follow up with projects. Prepare meeting materials/agendas, take minutes, and ensure follow-up on action items. Handle correspondence, including drafting, editing, and responding to emails and letters as well as work with Development and Public Relations to draft CEO talking points for special events, etc. Assist with board meeting preparation, communication, and documentation. Coordinate logistics for internal and external meetings, events, and presentations. Delegate tasks and responsibilities to other staff members when appropriate from CEO. Maintain records and confidential files with discretion and integrity. Conduct research, compile data, and prepare reports as requested. Serve as a liaison between the CEO and staff, partners, and stakeholders. Flexibility to attend evening or weekend events. For Board Liaison: Work closely with the Board Chair, executive committee, and chairs of all board committees to coordinate meetings aligning with CEO calendar. Qualifications
Proven experience 4-5 years as an executive assistant, administrative assistant, or similar role or at least 2 years EA of a C suite position. Scheduling and travel logistics experience are required. Excellent verbal and written communication skills. Strong organizational and time management abilities. High level of discretion, professionalism, and integrity. Proficiency in Microsoft Office Suite and/or Google Workspace. Ability to manage multiple priorities in a fast-paced environment. Comfort with AI technology.
