Part-Time Administrative Assistant For Special Projects
The Part-Time Administrative Assistant for Special Projects provides essential administrative support to ensure the smooth operation of various projects within People and Workplace Culture. Reporting to the AVP, this role involves coordinating schedules, managing documentation, facilitating communication among stakeholders, and assisting with special project-related tasks. Organize project schedules: Coordinate and manage timelines for special projects. Meeting coordination: Schedule, prepare agendas, take minutes, and follow up on action items. Documentation management: Maintain and update project files, reports, and presentations. Communication facilitation: Serve as a point of contact for project inquiries and support. Event logistics: Assist with planning and executing project-related events. Administrative support: Provide general administrative assistance, including document editing and travel arrangements. Knowledge: Office procedures and systems: Understanding of standard office practices, procedures, and equipment. Document management: Knowledge of filing systems, both physical and digital, and document control. Software proficiency: Familiarity with office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant applications. Basic accounting: Understanding of basic financial principles and bookkeeping. Skills: Communication: Excellent verbal and written communication skills for interacting with colleagues, clients, and stakeholders. Organization: Strong organizational skills to manage multiple tasks, schedules, and documents efficiently. Time management: Ability to prioritize tasks and manage time effectively to meet deadlines. Attention to detail: High level of accuracy and attention to detail in all tasks. Problem-solving: Ability to identify issues and develop effective solutions. Customer service: Strong interpersonal skills to provide excellent service to internal and external clients. Self-starter: Ability to work independently and take initiative with great follow through and organizational skills. Problem solver: Strong analytical and problem-solving skills.
