Senior Executive Assistant
The Sr Executive Assistant will provide high-level administrative support to an Executive Vice President for one of our Business Units, and other key leaders within the business, ensuring seamless day-to-day operations and optimal efficiency. This role requires managing complex executive schedules, coordinating both in-person and virtual meetings, and arranging comprehensive travel itineraries. As a trusted liaison between executives and internal/external stakeholders, the Executive Assistant is responsible for screening communications, organizing meeting agendas, and ensuring follow-up actions are tracked and completed. Additionally, the position involves preparing, editing, and proofreading documents, reports, and presentations for executive use. Job Responsibilities: What you will be doing: Provide high-level administrative support and assistance to the Executive Vice President and other assigned leadership staff. Manage and maintain executive schedules, including calendar management, travel arrangements, and meeting coordination. Handle sensitive and confidential information with utmost discretion. Prepare and edit documents, reports, and presentations for internal and external use. Act as the point of contact between executives and internal/external stakeholders. Screen and direct phone calls, emails, and other communications. Schedule, organize, and prepare materials for meetings, including agenda creation, note-taking, and follow-up actions. Arrange and manage logistics for in-person and virtual meetings (conference calls, video conferences). Arrange detailed travel itineraries, accommodations, and transportation for the Vice President and other staff. Process and reconcile expense reports in a timely manner. Assist with special projects as assigned. Track project timelines, deliverables, and ensure deadlines are met. Draft, edit, and proofread correspondence, presentations, and other communications for the Vice President. Coordinate communications between departments and ensure proper flow of information. Maintain high levels of professionalism and diplomacy when dealing with executives and external partners. Ensure office operations run efficiently and coordinate with IT when necessary. Performs additional duties, including covering for other Executive Assistant's PTO, as assigned by executives. Performs other related duties as assigned. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based sales incentive plan.
