Aircraft Maintenance Administrator
The Aircraft Maintenance Administrator supports the maintenance department by managing records, coordinating maintenance schedules, ensuring compliance with regulatory requirements, and maintaining communication between technical staff and management. This position plays a crucial role in maintaining the airworthiness and operational efficiency of the aircraft fleet. This role will involve working on a variable shift schedule, which will include weekend coverage. Duties/Responsibilities Maintain and update aircraft maintenance records in compliance with FAA, EASA, or other applicable aviation regulations. Assist in scheduling and tracking routine and unscheduled maintenance activities. Coordinate with technicians, engineers, and vendors to ensure timely completion of maintenance tasks. Prepare and maintain documentation including work orders, service logs, inspection reports, and airworthiness directives. Monitor part inventory levels and coordinate orders for replacement parts or equipment. Ensure digital and physical maintenance files are organized, complete, and audit ready. Support regulatory audits and inspections by providing necessary documentation and records. Track compliance deadlines for inspections, ADs, service bulletins, and component replacements. Generate reports and summaries for management on aircraft status and maintenance KPIs. Serve as a point of contact between maintenance personnel and administrative departments (e.g., procurement, HR). Qualifications Minimum Requirements High school diploma or GED required, associate degree or higher in aviation management or related field preferred. Minimum 2 years of experience in aviation maintenance administration or a similar administrative support role in a technical field. Knowledge of FAA/EASA regulations and aircraft maintenance practices. Proficient in using maintenance tracking systems (e.g., CAMP, TRAX, Corridor, AMOS) and MS Office Suite. Strong organizational skills with high attention to detail. Excellent communication and interpersonal skills. Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment. Education Experience with aviation auditing processes. Familiarity with aircraft parts procurement and inventory management. Certification in aviation maintenance (e.g., A&P license) is a plus but not required. Working Conditions Office environment with occasional visits to hangars or aircraft operating areas.
