Graduate Admissions Coordinator II

The College of Sciences is seeking a Graduate Admissions Coordinator II to support recruitment efforts locally and nationally. The Graduate Admissions Coordinator II will process applications, review and evaluate credentials and provide customer service. This position will also provide academic support to the program, including assisting and monitoring students' academic progress, preparing graduate teaching or research assistantship contracts, and documenting data for reporting and assessment purposes. Responsibilities: Advise prospective graduate students on admissions requirements. Monitor and respond to inquiries, process student applications in Slate, and follow up with students who have missing application materials. Maintain ongoing communication with prospective students from point of inquiry through the admission process. Create and manage centralized GTA and GRA applicant databases. Streamline the recruitment process and improve the visibility of qualified candidates for faculty reviewers and mentor matching. Lead the submission of Workday employment actions (e.g., hires, resignations, terminations, stipend/funding/employment changes) and track HR workflows through consistent updates to the COS HR Teams tracking sheet. Assist with applicant notification and inquiries after decisions have been made. Attend recruitment fairs at the university and college levels. Attend other recruitment events such as student organization meetings and individual class meetings. Provide information to prospective and current students and address inquiries about academic/admission requirements. Refer students to other UCF departments as needed. Coordinate and conduct virtual and in-person information sessions for prospective students for the campus-based and online graduate programs. Assist in coordinating orientations and graduation celebrations for both campus-based and online graduate programs. Provide administrative support to the program director. Assist the program director with all administrative/clerical needs, updating program information materials including brochures, handbooks, conference materials, and catalog. Assist with preparing reports including admission and enrollment data and reports. Record and file program meeting minutes. Assist with program accreditation. Maintain and organize academic records. Assist and support the school admissions. Other duties as assigned. Minimum Qualifications: Bachelor's or Master's degree and 4+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Preferred Qualifications: 4+ years of experience in a student-facing role in education or higher education. Experience coordinating graduate programs. Project or program management experience. Strong customer service mindset with demonstrated customer service experience. Experience with Slate or a similar CRM system. Strong emotional intelligence and ability to communicate effectively with faculty, students, and staff from varied backgrounds.
