Executive Assistant
Provide high-level assistance to three executives by facilitating office or administrative activities. Partner with co-presidents and the chief underwriting officer to ensure an efficient operating environment for the highest level of senior management. Essential duties and responsibilities include: Acting as a liaison for the three executives between clients, teammates, and community/business associates. Managing the executive's schedule (including appointments, meetings, and arrangement of travel requirements and itineraries) and correspondence by gathering information, preparing and editing communications, and designing and preparing graphic presentations. Completing projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans. Negotiating contracts for lodging, meals, meeting spaces, transportation, and any other accommodations, related venues, or expenses. Working independently and within a team on special projects. Organizing and prioritizing large volumes of information. Handling and dealing discreetly with confidential and non-routine information. Other projects and responsibilities as assigned. Qualifications: Bachelor's degree or equivalent work experience. Seven years of administrative experience in a support role with two years of executive office administration experience. Ability to make decisions with minimal supervision. Ability to work in a fast-paced environment with demonstrated ability to multitask and complete deadlines as assigned. High level of interpersonal skills to handle sensitive and confidential situations. Posses poise, tact, confidentiality, and diplomacy. Ability to effectively interact with employees at all levels of the organization and with a variety of people from diverse backgrounds. Comprehensive knowledge of computer software applications. Must work extended hours as needed.
