The Sine Institute (An the Democracy Innovation Lab) is a new campus-wide Institute that acts as an umbrella for the Democracy and Policy-related efforts of American University and as a hub for campus Democracy common ground programming. The Institute will leverage American University's Washington, D.C. location and the university's longstanding strengths in Democracy and social justice to incubate innovative ideas, generate research, and prepare a more civic minded, inclusive next generation of thought leaders. The Operation Coordinator will be responsible for overseeing The Sine Institute's day-to-day. The position will have a wide set of responsibilities, including some budget and finance processing; administrative leadership, general office support, oversight of event planning; and scheduling of the Executive Director and student engagement, student positions, and fellows. The position will supervise student workers who will help to coordinate events and communications. This position will work closely with all Institute staff and will communicate regularly with counterparts based in other finance, administrative, and academic units across the University. The role of the Operation Coordinator will assist with the logistical planning for Sine institute and the Democracy Innovation Lab, a project of the Sine Institute. This position requires self-direction, careful attention to detail and minimal supervision. The Operations Coordinator is required to handle confidential information and materials with discretion. The position will work with Sine staff, as well as other administrative units across the university. Essential Functions: 1.) Event Coordination The Sine Institute regularly hosts in person and virtual events during the Fall and Spring Semester, the Coordinator will be expected to secure space, set up rsvp mechanisms and conduct logistics for successful events in coordination with the Executive Director and the Communications Director. 2.) Administrative Coordination and Special Programs Support the Sine Institute Executive Director in their administrative roles on behalf of the Institute. Duties include maintaining calendars, scheduling appointments, preparing reimbursement paperwork, assisting in the completion of administrative forms, cataloging important forms, creating new databases and processes, preparing drafts and editing documents with limited supervision. Coordinate the collection, analyses, compilation and submission of data for documents and reports. Serve as a liaison between the deans, departmental, and central university offices. Assist the Executive Director in administering designated programs including, but not limited to: working with the CLED staff and the work of the Democracy Innovation Lab, a project of the Sine Institute. 4.) Budget and Personnel Coordinate and track assigned program budgets, including payroll, event expenditures, travel, and donor-funded gifts. Coordinate and purchase travel and accommodations and manage reimbursements for programs as needed. Produce budget status and detail reports for Executive Director as needed. Ensure all payment actions for faculty, staff, students. Hire and onboard graduate student staff for assigned programs as needed. 5.) Coordinating Projects Making sure that timelines, report and memos and logistics for projects of the institute are administered, including: Fellows Program, Distinguished Lecturer Program, Student Engagement, Polling Project, and Special Events. 6.) Student Affairs Assist in monitoring and tracking student programs for the Institute. Will serve as the coordinator for student engagement and recruitment for Sine programming. 7.) Other Duties as Assigned Supervisory Responsibility: Will supervise Graduate Assistants and Student Associates and Student Advisory group. Competencies: Serving Customers. Displaying Creativity. Continuation of the program/position is contingent upon external funding. Salary Range: $26.47 - $30.21 per hour. Required Education and Experience: Bachelor's degree. 2-4 years of relevant experience.
