There are multiple substitute positions in the category of Clerical/Office Positions that include positions both at school sites as well as at the Education Center and Operations Center. Positions in this category include: Substitute (Sub) School Office Assistant, Sub School Office Manager, Sub Office Assistant I and Sub Office Assistant II. All positions comprise clerical/administrative skills; however, the complexity and level of responsibility differentiates the various classifications. Under the direction of a supervisor (Ex: Principal, Director), these positions provide administrative and clerical support; monitors assigned office activities; maintains a variety of files, reports and records related to assigned duties; responds to telephone and email inquiries; assists the public and other employees as appropriate. As a substitute employee hours are not guaranteed (substitutes can work as little or as much as desired); position is not benefits eligible. Additional Requirements ALL OFFERS OF EMPLOYMENT ARE CONTINGENT ON PRE-EMPLOYMENT CLEARANCES FOR: Department of Justice (CA) Fingerprints; Federal Bureau of Investigation (FBI) Fingerprints; AND Tuberculosis (TB). Examples Of Duties
Communicates with students, parents, personnel, the public and outside agencies to exchange information, coordinate activities and resolve issues or concerns; serves as a liaison between parents, faculty, the school site and District administration; follows identified office, site and/or department established procedures. Composes a variety of documents including correspondence, agendas, minutes, newsletters, bulletins and reports as assigned; communicates information and creates documentation in according to established guidelines. Enters data into a variety of systems such as PeopleSoft, AERIES, Frontline, etc; assures accuracy of input and output data. Maintains assigned calendars; schedules meetings and appointments; sends out reminders for activities and events as needed. Operates a variety of office equipment including a copier, fax machine, telephone, computer and assigned software. Prepares and maintains a variety of files, reports and records related to assigned duties including student registration data, student health forms, personnel records and financial records as assigned. Receives, stores and coordinates distribution of assigned supplies and office materials. Attends and participates in meetings. Minimum Qualifications
EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school or equivalent GED. Experience in an office setting. Knowledge, Skills and Abilities
KNOWLEDGE OF: Modern office practices, procedures and equipment. Record keeping techniques. Correct English usage, grammar, spelling, punctuation and vocabulary. Oral and written communication skills. Interpersonal skills using tact, patience and courtesy. Telephone techniques and etiquette. Organizational operations, policies and objectives. Operation of a computer and assigned software. ABILITY TO: Perform a wide variety of clerical and secretarial duties Understand and follow oral and written directions. Compose correspondence independently. Work independently with little direction. Operate a variety of office machines including computer, calculator and copier. Work confidentially with discretion. Plan and organize work. Meet schedules and timelines. Type and enter data at an acceptable rate of speed. Benefits
