Office Manager / HR Coordinator
We are seeking a dedicated Office Manager / HR Coordinator to join our team. This role requires you to manage administrative and HR tasks efficiently, ensuring smooth operations within the office. Your role will involve utilizing QuickBooks Online for data entry, creating and processing invoices, scheduling staff, and handling HR responsibilities such as onboarding and training. Responsibilities
Utilize QuickBooks Online for data entry. Create invoices and process them efficiently. Conduct daily billing/HR meetings. Maintain filing systems and update HR folders daily. Process time-off requests within 24 hours. Schedule staff weekly and prepare monthly schedules. Create daily productivity reports and conduct SOAP audits. Audit time cards and perform batch processes. Manage purchase orders, package logs, and car logs, ensuring maintenance. Conduct weekly staff meetings and record agenda minutes. Organize weekly RT staff/admin meetings. Process aging invoices and ensure timely collection of past due items. Provide immediate feedback to management regarding accounts that require special handling. Adhere to departmental lunch and break schedules. Participate in HR activities including interviewing, onboarding, training, hiring, and firing. Handle equipment repairs in collaboration with the Senior Clinician Team. Manage computer logins and restart systems weekly. Oversee staff emails, mailboxes, and biostims, and complete daily HR and accounting checklists. Send nightly recap and pending updates by 7pm with a 6:30pm call. Close the clinic securely and ensure key holder accountability and computer locations. Essential Skills
Experience with QuickBooks Online. Invoice creation and processing. Billing systems proficiency. Payroll and staff scheduling experience. Excel reporting skills. HR experience including onboarding, recruitment, training, hiring, and firing. Strong administrative support and data entry capabilities. Additional Skills & Qualifications

The position requires you to work onsite Monday through Friday from 9:30 AM to 6:30 PM, with occasional Saturdays if needed.
