Vice President of Advancement Services
The Director of Advancement Systems ("Director") of the Montana State University Alumni Foundation ("Alumni Foundation") is a key member of the Advancement Services team. The Director brings expertise and leadership in network, application, and software-related infrastructure to streamline and elevate the Alumni Foundation's systems landscape. The Director works closely with other members of the Advancement Services team in clarifying available tools and use; evaluating and implementing new and upgraded tools; and ensuring strong user training and support for advancement systems. In particular, the Director collaborates with the following staff members and teams to accomplish key priorities: Director of Reporting & Analytics on reporting tools and infrastructure Director of Advancement Data & Research on gift processing tools and data security Communications & Engagement teams on a suite of tools to meet their needs The Director will manage two (2) full-time direct reports, a Database & Platform Administrator handling the day-to-day support and operations of advancement systems and an Information Technology ("IT") Specialist. The Director reports to the Vice President of Advancement Services. Specific Duties and Responsibilities: Serve as primary administrator for Alumni Foundation Advancement systems, including but not limited to, Raiser's Edge NXT and Anthology Encompass (iModules). Oversee updates and implementations, user access, training, and integrations. Oversee the creation and maintenance of a System Tools and Use policy to clarify product stakeholders, goals and function of each system, flow of data between systems, access procedures, and a regular evaluation timeline. Manage and coordinate the evaluation, purchase, and renewal of Advancement resources, services, systems, software, and overall network infrastructure technology. Manage relationships with external vendors and service providers, ensuring cost effectiveness, contract compliance and optimal service delivery. Serve as primary point of contact for third-party suppliers and vendors for key cross-functional systems such as Raiser's Edge NXT. Work with the Vice President of Advancement Services to ensure that the Alumni Foundation's system landscape aligns with stakeholder needs and adapts to evolving technology in the field. Working with third-party vendors, assess and maintain Advancement systems to ensure data security and protect systems from risk or attack. Develop policies and procedures for the storage and use of constituent information with a primary focus on data integrity and security. Create systems, software, and business process operating procedures that pertain to Advancement Systems as needed. Determine end-user software training needs and contribute to regular trainings from appropriate internal or vendor partners. Provide annual reporting to the Board of Governors regarding cybersecurity risks and measures, as well as significant system updates. Identify database related improvement opportunities and collaborate with members of the Advancement Services team to develop and implement solutions. Affect and maintain a professional, proactive, positive, highly collaborative and performance-centric work environment. Other duties, as assigned by the Vice President of Advancement Services. Special Skills and Qualifications: Strong analytical skills, with the ability to interpret complex data and provide actionable insights. Proven experience in project management and change management within a nonprofit or similar setting. People management experience building and managing a high-performing team. Complete respect for confidentiality. In-depth knowledge of best IT security practices and the latest IT products and developments. Problem solving and critical thinking skills. Ability to conceptualize and implement operational policies and procedures and command compliance. Ability to explain highly technical concepts in simple terms and to train others. Ability to research and analyze software and hardware systems.
