$40.00/hr - $50.00/hr Position Overview The Accounts Payable (AP) / Grants Specialist will be responsible for managing vendor invoices, grant-related financial transactions, and construction project billing documentation. This role requires hands-on experience with
American Institute of Architects (AIA) contract documents —including
AIA G702
and
AIA G703 —to support accurate and timely progress billing, payment applications, and compliance with construction project requirements. The ideal candidate will have a strong accounting background, attention to detail, and experience in grants administration and reporting. Key Responsibilities Accounts Payable & Construction Billing Process and review vendor invoices, payment applications, and subcontractor billings. Prepare, verify, and submit
AIA G702 (Application and Certificate for Payment)
and
AIA G703 (Continuation Sheet)
forms for construction projects. Ensure accurate coding of invoices and alignment with project budgets and cost allocations. Maintain vendor records and resolve discrepancies with contractors and suppliers. Coordinate payment schedules in compliance with project contracts and grant requirements. Grants Administration & Financial Reporting Track, monitor, and report on grant-related expenditures and reimbursements. Ensure all grant spending is in compliance with funding agency guidelines. Assist in preparing financial reports, invoices, and supporting documentation for grantors. Support audits by providing accurate and timely financial records. Documentation & Compliance Maintain organized records for all accounts payable and grant-related transactions. Ensure compliance with internal policies, contract requirements, and applicable regulations. Collaborate with project managers, contractors, and the finance team to resolve discrepancies and support timely project closeouts. Qualifications Education:
Associate or Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience). Experience: 3+ years of accounts payable, accounting, or grants management experience. Hands-on experience with AIA documents (G702 & G703) required. Experience with construction accounting or project billing preferred. Skills: Strong understanding of AP processes, construction billing, and grants compliance. Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and MS Excel. Detail-oriented, organized, and able to manage multiple deadlines. Excellent communication and problem-solving skills. Standard office setting; hybrid or onsite schedule based on company policy. Occasional interaction with contractors, vendors, and funding agencies.
