Position Overview

We're seeking a dynamic Portfolio Manager to lead our property management team and serve as the primary point of contact for our property owners. This is a senior leadership role that combines team management, technology oversight, and exceptional customer service to drive our growth from 457 to 830+ managed properties.

Key Responsibilities

Leading the Team

Oversee and hold accountable the property management team including PM accounting, maintenance coordinator, tenant coordinator, and rental marketing coordinator Monitor key performance indicators for each team member to ensure deadlines are met and owner investments are protected Lead weekly team meetings using the EOS L-10 format Identify key issues and implement solutions across the organization

Technology & Systems Management

Master and optimize our comprehensive tech stack: RentManager (accounting, leasing, billing, payments) PropertyMeld (maintenance coordination) BrightMLS (rental marketing) Rently (showing coordination) Boom.com (application processing) Rentcheck (inspections) LeadSimple (process management) FollowUpBoss (rental leads) Google Workspace & RingCentral

Owner Relations & Communication

Serve as the main point of contact for all property owners Review and approve all new management and lease agreements Onboard new owners and manage ongoing relationships Provide detailed performance reporting and market insights Handle escalated issues with white-glove service

Compliance & Quality Control

Oversee all legal documents for accuracy and compliance Act as the final line of defense for quality control Identify and solve potential issues before they impact owners

Marketing & Lead Management

Oversee rental marketing performance and lead flow Communicate market feedback and pricing recommendations to owners Manage the sales process from lead to lease signing Help with overflow call volume as needed

A Day in the Life

Start your mornings reviewing KPIs across RentManager, PropertyMeld, and other systems to ensure all team members are meeting deadlines and property performance targets. Lead daily check-ins with your remote team to address urgent issues and assign priorities. Spend mid-day communicating directly with property owners about rental leads, market feedback, maintenance requests, and investment performance through calls and detailed reports. Review and approve new management agreements, lease documents, and inspection reports while identifying potential compliance issues before they become problems. End your day analyzing rental lead flow in FollowUpBoss, coordinating with the sales team on prospect feedback, and preparing for the weekly L-10 leadership meeting where you'll present key issues and solutions.

What We Offer

Compensation & Benefits

Salary: $65,000 - $80,000 annually based on experience 3 weeks paid vacation Full week off between Christmas and New Year's (paid) Flexible remote work environment

Requirements

Proven experience in property management or related field Strong leadership skills with ability to manage remote teams Excellence in customer service and owner relations Technology proficiency and ability to master multiple platforms Understanding of property management compliance and regulations Experience with EOS or willingness to learn Exceptional communication and problem-solving skills Ability to manage multiple priorities in a fast-paced environment Real Estate License: Must have a current real estate license or be willing to obtain one if not currently licensed.
