Job Summary

The Collections Coordinator reports to the director of Billing & Collections and plays a key role within the finance team of a long-term care (LTC) pharmacy. This position is responsible for ensuring timely and accurate collection of outstanding patient and facility balances. The ideal candidate will bring strong communication skills, attention to detail, and collections experience in a healthcare or pharmacy environment, while working closely with both internal pharmacy staff and external clients. The goal of this position is to optimize cash flow and minimize bad debt exposure through effective follow-up and resolution efforts.

Main Responsibilities Monitor and follow up on outstanding patient and facility balances to ensure timely collection Initiate contact with patients and other responsible parties via phone, email, and written communication Coordinate and document collections efforts for a growing number of pharmacy locations in a broad geographic area Collaborate with pharmacy staff and other Billing and Collections team members to investigate and resolve patient concerns regarding insurance billing matters, invoicing issues and payment discrepancies Manage and execute patient payment plans Track receivable balances and escalate accounts requiring additional intervention Prepare and review aging reports and collections metrics

General Responsibilities Work within multiple pharmacy, billing, and financial systems to manage account information and perform collection activities Document all communications and account activity accurately and consistently within pharmacy management and billing systems Escalate complex billing or insurance issues to internal teams while maintaining communication with the client or facility Assist in resolving discrepancies in account balances, payments, or claims as needed. Assist with other Billing and Collections team responsibilities when necessary Post payments, adjustments, and write-offs to patient and facility accounts accurately and promptly Minimum Qualifications Associate's degree required; Bachelor's degree preferred Minimum 2 years of experience in a billing & collections role within a healthcare organization Proficiency in Microsoft Office Suite (Excel, Outlook, Word) Excellent verbal and written communication skills Strong organizational skills and attention to detail Ability to manage a high volume of tasks and interactions in a fast-paced environment Preferred Qualifications Bachelor's degree in business, healthcare administration, finance, or a related field Experience in a long-term care pharmacy or related healthcare/pharmacy billing environment Familiarity with pharmacy management systems (SuiteRx) General understanding of health insurance plans and terminology, including deductibles, copays, coinsurance, and coordination of benefits Knowledge of Medicare/Medicaid, third party payors, and pharmacy reimbursement processes
