Job Details: Job Description This is a non-personnel services contract to provide technical leadership services related to the Delta National Forest Support Services Specialist position. Provide office administration support to the Delta Ranger District employees.
The Support Services Specialist serves as the lead frontliner for overall office administration. The essential functions of the position require the employee to perform his/her duties at the duty station location, Rolling Fork, MS:
1.Responsible for district office operations during business hours, Monday - Friday, 0800 - 1630, and services the public through in-person contact and via telephone. Closes office during lunch at 1200-1230. Closes the office at 1630 PM.
2.Oversees District purchasing needs utilizing a purchase card holder on another unit. Prepares, controls, coordinates, and assembles information for procurement documents. Processes, tracks and validates budget-related transactions and resolves inconsistencies. Obtains District Ranger approval on all invoices/bills before processing. Pays invoices/bills within 2 days of receipt.
3.Reviews project expenditures by ensuring allocations are not exceeded and surpluses are identified, appropriate staffs are alerted, and if necessary, recommends reprogramming in other areas.
4.Receives, reviews, and analyzes and controls incoming correspondence including mail, faxes and controlled correspondence. Distributes documents to appropriate personnel.
5.Ensure office supply stock levels are sufficient and office equipment is maintained in working order.
6.Plans and performs general property management support services, such as maintenance and disposal of equipment. Serves as the District Property Coordinator.
7.Responsible for budget planning, work planning, budget formulation, budget tracking using spreadsheets, FMMI, work plan, etc. Provides weekly updates no later than Tuesday of each week.
8.Communicates any issues and resolve customer issues or complaints in a timely manner, which includes managing and resolving complaints/inquiries from visitors, internal and external partners, and stakeholders.
9.Provides support for fleet compliance procedures, including compilation and submittal of mileage and annual inspections.
10.Maintains District Official Records and assists District employees with storage, retrieval, and disposal of agency records.
11.Participates in regularly scheduled staff meetings, family meetings, district events, including safety meetings. Responsible for documentation of meeting notes when requested.
12.Provide constructive feedback to District Ranger on any and all matters.
13.Treats all employees and customers equitably and professionally. 148.Follows District check-in/check-out procedures.
14.Ensures District office is compliant with all facility inspections, consistent with OSHA regulations and Forest Service policies.
