Carries out duties according to Agency and Program policies, and local, state and federal regulations. JOB DUTIES AND RESPONSIBILITIES: ● Acts as a receptionist by greeting children, parents and building visitors; schedules and conducts parent tours. ● Ensures that incoming telephone calls are answered, callers are assisted or referred, takes accurate messages and messages are forwarded to staff members. ● Completes weekly invoicing, tuition payments, deposits and works with DSS for subsidized payments, completes related documentation. ● Works closely with accounting to ensure timely deposits and communication regarding outstanding tuition balances. ● Handles daily routine problems and questions and refers more difficult situations to the supervisor. ● Ensures classroom coverage for staff absences by scheduling substitutes for day care classrooms. ● Provides daily coverage in classrooms during staff breaks and teacher time out of classrooms. ● Acts as a back-up substitute in classrooms as needed and scheduled. ● Schedules employee interviews, prepares interview packets and checks references. ● Initiates and maintains Day Care Center inventory and assists with Head Start/UPK inventories. ● Distributes equipment and supplies. ● Orders routine consumable supplies; handles petty cash for the building. ● Completes enrollment records for Day Care children; maintains current class lists and waiting lists. ● Completes data entry and reporting timely. ● Submits pre-developed publicity materials to local media and parents. Contributes to Social Media posts. ● Works independently on assigned duties including typing, copying and data entry including needs submitted by supervisor and center staff. ● Assists with opening or closing the building, maintains building entry codes for enrolled families/staff. ● Assists with monitoring maintenance and repair needs of the building, communicates needs to the supervisor. ● Communicates routine building cleaning needs to the

cleaning/maintenance

staff, shares concerns with the supervisor. ● Opens mail, date and routes appropriately. ● Assists with special projects as assigned. ● Works a flexible schedule on occasion to assist with meeting program needs. ● Participates in professional development activities. ● Implements fundraising events for the daycare program.

JOB REQUIREMENT: ● Must be proficient in the use of a computer, various software applications, and related equipment. ● Must be able to organize and coordinate assigned work. ● Must be able to work with other staff and the public in a professional and pleasant manner. ● Must be a good role model to staff and children. ● Must be self-motivated, flexible and extremely reliable. ● Must be able to handle duties with accuracy and attention to detail. ● Must have the ability to follow complex oral and written directions. ● Must have a valid NYS driver’s license with a good driving record and have access to a reliable vehicle to carry out related duties. ● Must complete required trainings in specific topic areas with at least 30 hours over a two-year period. ● Must be able to carry out the responsibilities of the position. ● Must complete comprehensive background check. ● Must be CPR/First Aid trained and MAT certified, must keep these certifications up to date. MINIMUM QUALIFICATIONS: ● High School Diploma or GED supplemented by clerical/computer training; and ● One to three years related work experience with computer skills, ● Any equivalent combination of education, experience and training.
