Job Description The Administrative Assistant supports our Production Management Team in a fast-paced manufacturing environment. This role is critical to maintaining accurate records, supporting efficient operations, and facilitating interdepartmental and inter-site communication.

OMWs Administrative Assistant needs excellent interpersonal and communication skills and must be a proactive communicator who enjoys being hands-on. The Administrative Assistant must fully understand customer requirements and have a sense of responsibility towards our potential and existing customers. The role requires adaptability, flexibility, and an agile mindset to manage competing priorities, support a broad range of business functions, and keep up with the fast pace of our team as we pursue meeting our customers needs. As a member of OMWs production team, your goal is to support the organization in delivering good products on time all while continuing to improve.

Note that this position may on occasion require work outside of normal business hours to support company needs. Long hours may be required.

Job Responsibilities

Personnel management:

ERP System Maintenance: Perform daily audits and updates in OMWs ERP system to ensure accuracy on operation completion, job status, inventory picking, and other daily maintenance tasks. Assists in closing operations, time and quantity reporting, and resolving data discrepancies. Machine Monitoring Support: Update and verify data in OMWs machine monitoring software to reflect actual availability, machine usage, and performance. Coordinates with production personnel to ensure machine status accuracy.

Tooling and Supplies: Organize tool and supply orders for the shop floor; collaborate with Purchasing to place orders. Track delivery status, follow up on back orders and urgent needs. Distribute material once received. Collaborate with production personnel to organize supplies on the shop floor.

General Administrative Duties: Support Production Management with reports, schedules, and meeting preparation. Maintain and organize digital files related to production operations. Assist with time tracking, vacation requests, and other administrative needs for the production team.

Job Requirements

High school diploma or equivalent required; associate or bachelors degree preferred.

2+ years of administrative experience required, preferably in a manufacturing or production environment.

Strong organizational skills and attention to detail.

Prior experience with ERP systems, or the ability to quickly learn.

Ability to manage multiple tasks and priorities in a fast-paced environment.

Strong communication skills and a collaborative attitude.

Experience in providing excellent customer service.

Strong analytical skills

Proficient with Microsoft Office Suite (Excel, Word, etc.).
