Job Description: Our client is seeking a detail-oriented, organized, and proactive Administrative Assistant to support our day-to-day operations. This is a unique opportunity for someone who is not only an administrative professional but is also eager to learn and grow into a tax preparation role. The ideal candidate will be a key part of the team, ensuring smooth office functionality while also being trained on the fundamentals of accounting and tax preparation.
Responsibilities:
Administrative Support (Primary Role): Manage and organize office files, documents, and client records, both physical and digital. Schedule and coordinate appointments and meetings with clients. Handle incoming calls, emails, and correspondence in a professional and timely manner. Maintain and order office supplies. Assist with billing, invoicing, and payment processing. Prepare and edit correspondence, reports, and presentations. Act as the primary point of contact for clients, ensuring a positive and professional experience. Operational Support: Assist in the preparation and organization of tax season materials. Help with data entry and maintain accurate client databases. Support the executive team with various tasks as needed. Training and Development: Participate in training sessions to learn the basics of tax preparation and accounting principles. Receive hands-on guidance to prepare for a future role as a Tax Preparer/Accountant. Be open to learning new software and tools used in the tax industry.
Schedule and Hours: Tax Season (January - June): Full-time, 35-40 hours per week. Hours: 8:00 AM - 4:00 PM (In-office). Off-Season (July - December): Part-time, 20-25 hours per week. Flexible schedule (Hybrid: combination of in-office and remote work).
Qualifications: Proven experience as an administrative assistant, executive assistant, or in a similar role is preferred. Strong organizational and time-management skills with the ability to prioritize tasks effectively. Excellent communication and interpersonal skills, both written and verbal. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). High level of integrity and ability to handle confidential information with discretion. A positive attitude, strong work ethic, and a willingness to learn. Experience in the tax or financial industry is a plus but not required. Must be a self-starter and able to work independently as well as part of a team.
