Performs general administrative duties in accordance with procedures of the organization: prepares various board and committee minutes; assists with the planning and coordinating of special events and meetings; assists with front office coverage; answers telephones; greets clients; completes data entry, bookkeeping, and filing; and execution of monthly, quarterly, and year-end reports. Position may from time to time be stressful and require a high demand of performance. May perform other duties as assigned. ESSENTIAL FUNCTIONS Attends and provides accurate and time-sensitive records of all Board meetings, Board committee meetings, leadership team meetings, strategic planning meetings, and other key meetings Prepares various Board and Committee Meeting Minutes Serves as primary point of contact for calls and visitors, including government officials, officials of Catholic Diocese, and the press for Chief Executive Officer (CEO) and Chief Operations Officer (COO) Assists with planning and coordination of all Board of Directors, Board Committees, and Corporate Leadership Team meetings, as requested Assists with planning and coordination of Board retreats and strategic planning meetings, as requested Completes special projects as requested for Board of Directors, Board Committees, and executive team, specific to CEO, Chief Financial Officer (CFO), and COO Assists with front office support, receiving phone calls for the organization, greeting clients and visitors, providing paperwork to clients for completion, and collecting payment for services Sorts and distributes incoming mail; prepares and stamps outgoing mail and packages, maintains organization of the mail room, and monitors postage meter Assists with scheduling maintenance of office equipment including postage meter Manages office supply and related inventory Manages information flow between multiple parties in a timely and accurate manner Responsible for the organization and the maintenance of the employee break room May drive personal or agency vehicle on company business MINIMUM REQUIREMENTS Suitable work experience may be considered as transferable skills in order to meet minimum requirements of the position and will be considered by the Executive Director of Human Resources. Associate's degree in an administrative field of study, and 2-3 years of relevant experience; OR 7 years of senior level administrative support experience Expert-level skills utilizing Microsoft Office Suite Strong communication skills, exhibiting clarity, conciseness, and organization, using appropriate style, grammar, and tone Strong knowledge of numbers, their operations, and interrelationships Proven record of excellent customer service and teamwork High level of professionalism and discretion Exceptional organization skills Independent judgement to determine appropriate course of action and priorities Flexibility and adaptability to adjust to changing priorities and deadlines REGULATORY Must be at least 18 years of age Valid driver license, proof of insurance, and 39-month motor vehicle report Ability to obtain and maintain Arizona Level One Fingerprint Clearance Card and FBI National Criminal Records History Report (employer paid) Pass pre-employment drug screen (incudes marijuana, regardless of recreational use laws) (employer paid) DESIRED QUALIFICATIONS Degree in administrative field of study Additional years of experience in senior or executive level administrative support Bilingual in English and Spanish, verbal and written The above statement reflects the general duties considered necessary to describe the principal functions of the job as identified and shall not be considered a detailed description of all work requirements that may be inherent in the job.
