Job Description Description: The Administrative Associate Accounts Payable will be responsible for monitoring the outflow of capital for the company with processing, filing, and completing payments as needed.
Duties / Responsibilities: Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records. Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies. Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed. Assists with accounting records and ledgers by reconciling monthly statements and transactions. Calculates and reports sales tax based on paid invoices. Ensures proper processing of payroll deductions for taxes, benefits, charitable contributions, and other deductions. Reconciles the general ledger and monthly bank statements. Issues, or reissues, physical or replacement checks or direct deposits due to errors. Records and processes federal and state payroll tax deposits. Performs other related duties as assigned. Reports to department manager. Requirements:
Required Skills/Abilities: Ability to follow directions and work well in a team. Must be reliable and extremely trustworthy. Must be proficient in Microsoft Office Suite or related programs. Must be able to learn other accounting software systems. Excellent organizational skills and attention to detail. Ability to maintain confidential and meticulous records. Basic math skills including addition, subtraction, multiplication and division. Basic Quality Standards and Concepts literacy Education and Experience: High school diploma or equivalent required; Business or Accounting degree preferred. Certified Accounts Payable Professional (CAPP) certification preferred. Two years of experience in accounting or bookkeeping Other certifications, training or requirements as may arise for this position as communicated by management. Completion of on-the-job training may be substituted for educational requirements. Physical Requirements: Prolonged periods sitting at a desk and working on a computer. May be required to communicate, discern, convey, or exchange information with other teammates.
