What you'll be doing

Estate Operations & Maintenance

  • Plan, implement, and review decisions and policies set by the Management Corporation for both routine and cyclical maintenance.
  • Regulate and control the use of common property areas.
  • Oversee daily operations, including cleaning, security, landscaping, and building maintenance.
  • Certify job completions by contractors and recommend payments upon satisfactory performance.
  • Develop and implement a planned maintenance program, including improvements, additions & alterations, and repairs & redecoration.
  • Conduct regular inspections to ensure common areas meet regulatory and operational standards.

Compliance & Governance

  • Advise and support the Management Corporation in accordance with the Building Maintenance and Strata Management Act (BMSMA).
  • Coordinate with government bodies, managing agents, and legal advisors on compliance, operations, and project execution.
  • Ensure accurate recordkeeping for all Management Corporation matters, including registers of subsidiary proprietors and residents.

Financial & Administrative Management

  • Ensure financial operations comply with standard practices and statutory requirements.
  • Prepare and manage annual budgets and monthly financial reports.
  • Collect management fees, sinking funds, and other charges on behalf of the Management Corporation.
  • Monitor arrears and initiate recovery actions when necessary, including preparation of legal documents.
  • Implement effective cost controls and validate payment accuracy.
  • Attend to all correspondence related to common property and recommend appropriate follow-up actions.

Resident & Stakeholder Engagement

  • Establish strong rapport with subsidiary proprietors, residents, council members, and service providers.
  • Provide secretarial support for Management Corporation meetings and sub-committees, including preparing agendas, minutes, and resolutions.
  • Offer editorial support for publications like newsletters and AGM reports.
  • Address resident inquiries and propose practical, customer-focused solutions.

Staff & Contractor Management

  • Conduct regular weekly staff meetings to monitor work progress and project status.
  • Supervise and motivate staff to uphold high service standards.
  • Conduct performance appraisals, recommend staffing changes, and handle disciplinary matters.
  • Promote teamwork across departments and ensure adherence to internal staff policies.
  • Maintain proper documentation of all staff matters including leave, attendance, and personal particulars.

What we're looking for

Educational Qualification

  • Degree or Diploma in Building & Estate Management, Hospitality Management, or a related field.
  • Certified Fire Safety Manager (preferred).

Experience

  • 3 to 8 years of relevant experience in property or estate management.

Regulatory Understanding

  • Sound knowledge of the Management Corporation Strata Title (MCST) framework and the Building Maintenance & Strata Management Act (BMSMA).

People-Oriented Problem Solver

  • Strong interpersonal and communication skills with a solution-oriented mindset; resourceful, independent, and professional in handling challenges and resolving issues effectively.

Regulatory Understanding

  • Strong knowledge of the Management Corporation Strata Title (MCST) framework and the Building Maintenance & Strata Management Act (BMSMA).
