QUALIFICATIONS:
TERM OF EMPLOYMENT: 11 months per school calendar.
WORKING HOURS : 8:00 AM - 5:00 PM with 1 hour unpaid lunch.
JOB GOAL: Under the supervision of the Administration, the Data Clerk will assist in maintaining all pupil registration, enrollment, transcript and attendance records for the students of Tuba City Schools; also will input student class schedules and grades into the computer.
The Data Clerk will follow the guidelines and policies set by the school administration, the State Department of Education and the procedures in operating the computer programs written by the staff of the Arizona Public Schools Computer Consortium.

- High School diploma or its equivalent.
- Two years of secretarial training.
- Knowledgeable with demonstrative abilities with computers and compatible software.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

DUTIES AND RESPONSIBILITIES:
- Work in the Registrar/attendance office at the time and location as directed by the Administration.
- Work diligently to perform the duties as assigned by his/her immediate supervisor
- Obtain and distribute attendance rosters to the teacher by the daily/first day of each week.
- Input all absences into the computer on an hourly basis.
- Make available the transcripts, student records, and attendance record of students, upon request. Inquiries are usually made by other support personnel-social worker, school psychologist, registrar, guidance counselors, dean of students, and administrators.
- Responsible for printing reports (i.e. daily attendance list, register reports) and to distribute copies of these reports to the attendance clerks or other personnel.
- Preparation and proper distribution of an "Attendance Bulletin".
- Write out admit slips to the students for absences and tardies.
- File admit slips with a written note from the parent/guardian in the student folders.
- Submit warehouse orders or requisitions for supplies maintaining a sufficient supply of copier paper, ink and developers, and other office supplies for the registrar and computer room.
- Process the notification letter to the parents for the 3-5-8-day absences and tardies.
- Maintain current and accurate records of all attendance information, incoming/outgoing correspondence, attendance reports, and other miscellaneous information.
- If necessary, the computer operator will assume coverage for the other clerks in their absence from the office.
- Input schedules and grades for each student into student record.
- Input all student records and data into computer storage (i.e. transcripts, grades, enrollment information).
- Perform other duties as assigned by the Principal, Assistant Principal, or Administrative Assistant.
