Responsibilities
- Manage daily office operations, support facility maintenance, safety initiatives, and general administrative duties as directed by the Operations Manager.
- Maintain physical and digital filing systems for facilities and safety documents.
- Coordinate with outside vendors for timely and compliant facility maintenance.
- Assist sales and operations teams with customer documentation, such as contracts.
- Schedule appointments, receive packages, and support onsite events for customers and visitors.
- Draft and edit correspondence, reports, and documents related to facilities and safety.
- Maintain databases and spreadsheets for expenses, attendance, and event RSVPs.
- Ensure safety compliance by monitoring AED and First Aid supplies.
- Support the Expansion and New Building Projects with the Operations Manager and team.
- Manage calendars, arrange travel, prepare agendas, and document meetings.
- Coordinate logistics for meetings, including setup, conferencing, and catering.
- Oversee maintenance of office equipment and support logistics for inventory needs.
- Handle sensitive information discreetly, ensuring confidentiality and compliance.
- Provide general project support and utilize office software for document creation and editing.
- Maintain correspondence related to facilities and customer interactions as needed.
Qualifications
Preferred:
- Bachelor's degree in business administration or related field.
- Experience as an Office Manager or Executive Assistant.
- Familiarity with SAP, Concur.
Minimum:
- Associate's degree in a related field.
- Prior administrative experience.
- Excellent computer skills, especially typing.
- Attention to detail and proactive attitude.
- Ability to meet deadlines and ensure accuracy.
