About Us: Senior Helpers of Laurel provides compassionate, personalized in-home care services for seniors throughout the Laurel, Crofton, Annapolis, and surrounding areas. We specialize in Alzheimer's & dementia care, Parkinson's care, and comprehensive personal care services that help seniors live safely and comfortably at home.
Position Overview: We're seeking a detail-oriented, organized Office Manager to join our team and support our growing home care operations. This is a part-time, in-office position perfect for someone who enjoys variety, helping others, and working in a supportive healthcare environment.
Key Responsibilities:
Communication & Client Services:
•Answer and screen incoming phone calls with a pleasant, professional manner
•Ensure all client communication is sent timely according to company policy
•Input client leads into home care software and create welcome packets
•Prepare client files, care plan binders, and prospect information
Billing & Financial Management:
•Process accounts receivable and payable accurately and timely
•Complete invoices according to company policy
•Maintain records for Long Term Care (LTC) and Medicaid programs
•Monitor and follow up on outstanding receivables
•Record incoming payments and allocate bills to correct periods
Payroll & HR Support:
•Collect, organize, and verify caregiver time sheets against scheduling calendar
•Complete caregiver and internal payroll processing
•Conduct caregiver reference checks and background checks
•Create new hire packets and maintain employee files
•Input caregiver information into home care software
General Office Administration:
•Maintain organized filing systems and ensure easy document accessibility
•Perform data entry, mail sorting, and general office functions
•Support recruitment efforts and employee on boarding
•Complete additional duties as assigned
What We're Looking For:
•Minimum 2 years office management or administrative experience
•Excellent verbal and written communication skills
•Strong attention to detail, especially with financial/billing tasks
•Ability to multitask and prioritize in a fast-paced environment
•Pleasant phone manner and strong client interaction skills
•Team player who's adaptable and reliable
•Basic computer skills (we'll train you on our healthcare software!)

Comfortable presenting and training new employees
The office manager will likely be conducting initial orientation on company policies, procedures, and basic protocols before caregivers move into their specialized training.
