JOB TITLE: Technical Services Office Manager WAGE/HOUR STATUS: Non- exempt
REPORTS TO: Director of PAY GRADE: Para 065 (230 days) Technical Services
DEPARTMENT: Technical Services DATE REVISED: June 2025
PRIMARY PURPOSE: Support the efficient and effective operation of Technical Services by providing comprehensive administrative and clerical support to the Director of Technical Services, District Technicians, and Campus Technicians. Additionally, coordinate the district-wide procurement, inventory management, and maintenance of technology devices (e.g., laptops, iPads, Chromebooks) and Audio/Visual equipment.

to multitask. Ability to work with frequent interruptions. Ability to maintain emotional control and exercise reasoning and problem-solving while under stress. Prolonged computer use, repetitive hand motions, stooping, kneeling, crouching, and crawling. Moderate lifting and carrying. In-district travel required.
Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.

Technical Skills:
- Basic understanding of hardware (e.g., printers, laptops, desktops, tablets, input peripherals)
- Knowledge of inventory management, including acquisition, asset identification, and disposal
- Proficiency in label printing software
- Strong communication skills (verbal, written, and interpersonal)
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides)
- Understanding of general purchasing workflows; knowledge of district financial systems is beneficial
- Proficient in typing, word processing, and file maintenance
- Knowledge of basic accounting principles
- Ability to maintain accurate and auditable records, including payroll
- Detail-oriented with excellent organizational skills
- Ability to remain task-oriented, flexible, self-motivated, and meet multiple deadlines despite frequent interruptions
- Ability to maintain confidentiality and handle sensitive information with integrity
- Ability to guide and mentor office staff and/or student interns
- At least 3 years of experience in a high-volume office support setting (preferably in an educational environment)
- At least 2 years of successful experience in a technology-related field (preferably in an educational environment)
- Experience with budget management and general bookkeeping
- Experience with inventory management
MAJOR RESPONSIBILITIES AND DUTIES:
- Administrative Support:
- Organize routine work activities for the Director of Technical Services, District Technicians I & II, AV/MM Broadcast Specialist, and Campus Technicians.
- Prepare correspondence, forms, reports, and documentation as directed.
- Compile information for various reports (e.g., status reports, work order statistics).
- Communication and Coordination:
- Answer incoming calls in a courteous, professional manner; take and route reliable messages.
- Provide excellent customer service to all end-users of department services.
- Inventory and Purchasing:
- Monitor and reorder office and technician supplies using approved purchasing methods.
- Collaborate with Technology Services to purchase, track, and maintain technology devices, including warranty and inventory records.
- Facilitate device repairs and technology disposals.
- Financial and Budget Management:
- Process and submit personnel payroll reports using Kronos and Munis; assist with personnel documentation (e.g., A+ certifications, personnel action forms).
- Perform routine bookkeeping tasks, including creating purchase orders, processing invoices, and maintaining budget records.
- Track departmental budgets and inform the supervisor of price changes or inconsistencies.
- Assist in the preparation of the annual departmental budget and monitor expenditures throughout the year.
- Ensure invoices are paid accurately and on time.
- Assist with creating RFPs and district bids for technology equipment.
- General Office Management:
- Receive, sort, and distribute mail and documents.
- Maintain departmental files and records.
- Schedule appointments and make travel arrangements as needed.
- Prepare meeting materials, arrange meeting logistics (e.g., rooms, catering), and record/distribute meeting minutes.
- Support and Collaboration:
- Regularly communicate with the supervisor to report on projects and issues.
- Collaborate and assist other staff members in the department on various projects as assigned.
- Participate in the rotating schedule for phone support at the Administration Building.
- Follow all state and district policies and regulations related to primary job functions.
- Promote workplace safety by following safety rules and district policies, reporting injuries or incidents promptly, and contributing to ongoing safety improvements.
