Summary of Role:
The Coordinator provides administrative and operational support to Account Managers and Executives in the day-to-day servicing of commercial insurance clients. This role combines clerical accuracy, policy processing, and client servicing tasks, offering exposure to insurance operations and professional development. The position supports agency efficiency and compliance.
This position is ideal for individuals starting their career in insurance or administrative support. Prior insurance experience is helpful but not required-training is provided. This is a great opportunity to build foundational knowledge while working in a collaborative team environment and receiving mentorship and guidance necessary for advancement in the insurance industry.
This is a full-time role with a hybrid schedule based in our Plainview (Long Island), NY or Warrington, PA offices. Working in the office at least a couple of days a week is required and is essential for fostering interaction and facilitating career development. Being physically present allows for spontaneous collaboration, immediate feedback, and stronger team relationships, all of which are crucial for your professional growth and success.

The base salary range for this position is $45,000 - $50,000. The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.

Essential Duties and Responsibilities:
- Generate and deliver standard client documents, including ID cards, certificates of insurance, proofs of insurance, and binders.
- Open, distribute, and scan incoming mail and documentation into the agency management system per guidelines.
- Create and maintain client files in accordance with agency standards.
- Pull and verify policy correspondence and reports from carrier websites or email portals.
- Assist with processing of new and renewal policies, endorsements, audits, cancellations, non-renewals, and reinstatements.
- Perform basic quality control reviews of policy documentation, including policy checks and coverage verification.
- Input data into the agency management system with accuracy and attention to detail.
- Learn to assist in preparing proposal documents and coverage checklists.
- Assist with billing questions, premium adjustments, and invoicing under direction of senior staff.
- Follow up with carriers for outstanding documents, endorsements, or corrections.
- Participate in special projects and team training initiatives as assigned.
- Operate standard office equipment and software including Microsoft Outlook, Word, Excel, Applied/EPIC (or similar systems).
- Collaborate effectively with internal teams, carrier partners, and occasionally with clients.
- Assists the Account Management Team with other related requests.
- Ability to work a hybrid schedule of at least 2 days a week from our Plainview or Warrington offices
- When working from home, you must maintain a private workspace to secure company equipment and correspondence; maintain high-speed internet, be present and responsive online, and minimize personal interruptions during your work shift
- A desire for a career in insurance and brokerage services
- Proficient written and verbal communication skills.

- High school diploma or GED required; additional education or training preferred.
- 0-2 years of experience in an administrative, insurance, or customer service role preferred.
