Title: Move Manager – Workplace Strategy & Occupancy
Pay Rate: $70–$80/hour
Contract Length: 6-Month Contract (Potential FTE Conversion, Pending Headcount)
Location: San Francisco, CA (100% Onsite)
Russell Tobin is currently partnering with a leading, mission-driven AI research and deployment company. Their teams are ambitious, fast-moving, and deeply collaborative, requiring exceptional workplace operations support to keep their workspaces running smoothly and efficiently.
They are seeking a Move Manager – Workplace Strategy & Occupancy to lead the planning, coordination, and execution of complex office moves, ensuring minimal disruption to the business and an exceptional experience for employees. This role is highly visible, working closely with executives, internal stakeholders, and external vendors, and requires someone with both strong operational skills and a hospitality-driven approach. In this role, you'll oversee efforts for the following key areas listed below:
1. Move Execution
- Lead the end-to-end execution of large-scale corporate moves (1,000+ employees).
- Coordinate multiple concurrent moves across sites, with experience in global or multi-site moves a significant plus.
- Ensure seamless relocation experiences with minimal downtime and operational disruption.
2. Vendor & Program Management
- Oversee moving vendors and hold them accountable to key performance indicators (KPIs).
- Lead or contribute to RFPs/RFIs to source and select vendors.
- Maintain strong relationships with vendors to ensure timely, high-quality service delivery.
3. Strategic Communication & Change Management
- Develop and implement communication plans to guide employees through move-related changes.
- Act as the primary point of contact during relocation events, addressing employee needs and concerns.
- Apply a customer service and hospitality mindset to maintain a positive employee experience during high-impact changes.
Additional Responsibilities:
- Partner with stakeholders—including Executive Business Partners to understand move requirements and business priorities.
- Read and interpret floor plans, ensuring proper workspace configurations.
- Coordinate with workplace teams on occupancy planning and post-move evaluations.
- Leverage CAFM systems such as OfficeSpace, Archibus, Tririga, or Serraview for planning and execution.
- Manage move-related logistics from preparation through post-move evaluation.
- Develop dashboards, post-move surveys, or other metrics to measure move success.
Qualifications:
- Proven experience managing large-scale corporate office moves (1,000+ headcount).
- Strong vendor management skills with proven ability to coordinate multiple third-party partners.
- Excellent written and verbal communication skills.
- Ability to read and interpret floor plans and office furniture layouts.
- Experience using CAFM systems.
- Strong stakeholder management experience, including executive-level communication.
- Availability to be onsite before, during, and after move events.
Preferred Qualifications:
- Experience in change management and/or occupancy planning.
- RFP/RFI development and management experience.
- Experience managing global or multi-site moves.
- Familiarity with AI or high-growth technology environments.
- PMP certification.
- Experience with move-related data analytics, dashboards, or surveys.
