Job Summary
Position: LOGISTICS COORDINATOR
Result Statement: responsible for the overall supply chain management to deliver excellent customer service. teamwork and harmonious relationships with customer service team is essential. Logistics manager responsibilities include knowledge of the entire order process, accurate product shipments, maintaining inventory levels and monitoring storage and distribution of goods necessary to provide exemplary customer service.
Position Reports To: Plant Manager
Responsible for: Coordinating shipments of product and goods through the use of external and/or internal resources necessary to meet the delivery needs of our customers. Providing a vital link of communication and support services between the manufacturing, technical & sales departments required to consistently maintain high customer satisfaction and retention that ultimately results in the long-term growth and success of Blue Ridge Fiberboard.
Technical Work: Tasks required to produce your result.
- Coordinate common carrier shipments matching the client’s service expectations with the plants capabilities and communicating with customer service effectively to minimize errors and misunderstandings.
- Mastering of Syspro, C.R.M. and other computer programs vital to our success.
- Diligently double check orders post entry and before sending order to plant to avoid costly errors. Check product code, quantity, ship to location.
- Carbon copy appropriate BRF Regional Sales Manager on any unusual order details for their specific regions & product responsibility.
- Communicate with carriers to insure on time delivery will occur once orders are dispatched and shipped. In the case of a delivery delay regardless of fault, Customer Service Representative & territory responsible BRF Regional Manager must be notified immediately.
- Maintain, update and distribute freight tables to General Manager, Plant Manager, Director of Sales & Marketing, and Chief Financial Offer (WRM).
- Verifies the MSA Freight Reimbursement Sheet with diligence.
- Assist in the Warehouse Management – Take warehouse “snapshots” & do SCT order entry. When “custom” non-stocked material is ordered set up new product code with corporate if applicable and assure that special order stickers are applied to all pallets prior to shipment. Assist in getting physical inventory completed when deemed necessary by management.
- Work in conjunction with the corporate office to process new common carrier applications, and vendor setup, W-9 insurance and operating authorities.
- Prepare weekly sales analysis report and provide to the Director of Sales and Marketing
Position Specific Standards: Quantity, quality, and behavior standards
- Routes and schedules outbound freight shipments.
- Identifies and manages contracts with common carriers for the movement of freight.
- Negotiates rates with common carriers to ensure that the lowest possible freight charges are incurred.
- Audits all freight charges and files claims on over charges or shipment damage.
- Allocates freight charges to the appropriate order
- Prepare all paperwork, transfer documents to ensure that proper inventory adjustments are made. Oversee physical inventory counts and reconciliation.
- Ensure compliance with Department of Transportation regulations.
- Responsible for maintaining accurate records on the movement of goods: Bills of lading, weight tickets.
- Prepare export documents for shipment of products out of the US; NAFTA Certificate of Origin, Canadian Custom Invoices.
- Provide copy of signed Bill of Lading for all export customers. Ensure actual quantities shipped match quantities on paperwork exactly.
- Prepare the plant production schedule and create jobs in Syspro.
- Maintain and place requisitions for various shipping and warehouse supplies
- Maintain inventory of externally sourced products, the products Blue Ridge re-brands which currently include but are not limited to: cant and edge strips (United Asphalt & Mid-States Asphalt), mass loaded vinyl (United Plastics) and White Faced Building Board (International Building Products of Canada) & Insulation Board White (Alabama Inter-Forest Corporation).
- Process completed orders from remote warehouses for invoicing.
- Process shipped orders from the plant to be invoiced.
- Correct orders that have been short shipped and send out corrected order to customer service in a timely manner.
- Create and email a daily shipping report.
- When needed, arranges freight from paid outside warehouses that do not offer freight services.
- Provide backup assistance for the Sales Service Coordinator for vacation relief or absences.
- Work diligently to be able to provide the best service for our customers
- At all times maintain a professional working standard with all clients & potential clients as well as common carriers
- The Logistics Coordinator shall be familiar with and adhere to all company policies, procedures, and business ethics codes as outlined in the WR Meadows Salaried Employees Handbook and Policy Manual.
- Monthly commissions shall be paid per the guidelines agreed upon annually and may be adjusted based upon the projected business climate.
- Yearly objectives shall be given the upmost importance, tracked throughout the year, and reviewed and assessed for completion at the year-end employee evaluation.
