Duties & Responsibilities
Summary:
The Graduate Program/Fiscal Coordinator supports Virginia Commonwealth University's Department of Microbiology & Immunology's academic and research missions. This individual will be responsible for coordinating various administrative and fiscal tasks within the department and supporting both the Graduate Program Directors and Course Directors. As a student-facing role, this position requires an individual who can manage multiple responsibilities, provide day-to-day student support, and ensure smooth operations within the department. The coordinator will work closely with both the School of Medicine (SOM) Graduate Education team and the department's fiscal team to manage student funding. This position will also be cross-trained as a back-up for the Administrative & Operations Coordinator. This position requires an in-person presence for a minimum of three days per week to effectively collaborate with faculty, staff, students and other colleagues.
Typical Duties
. Graduate Program Support 65%: •Support Graduate Program Directors: Provide administrative and financial support to the Graduate Program Director, assisting with tasks such as student recruitment, program logistics, and related administrative duties, including updating databases as needed. •Support Course Directors: Coordinate course logistics and assist Course Directors with the planning and maintenance of course offerings, including scheduling, communication, and coordination of course evaluation process. •Student Database: Maintains and update database on student activity post-graduation. This data is used to report outcomes on training grant applications, annual reports and academic program review. •Course Maintenance: Help maintain and update course-related information, including schedules, syllabi, and course materials. •Management of LinkedIn account: Manage and monitor account to promote graduate education in Microbiology and Immunology.
.Financial Management 35%: •Purchasing & CorpCard: Process and track department purchasing requests and receipts in the University purchasing system, ensuring timely procurement of necessary materials and resources for the department's programs according to VCU purchasing guidelines. Manage departmental corporate cards, ensuring that all purchases are compliant with VCU policy, have receipts attached, and are approved in the Bank of America system according to published deadlines. •Reconciliation and Financial Recordkeeping: Maintain accurate and complete transaction records and reconcile all departmental indexes using Monthly Expenditure Reports within 30 days of the end of each month. Research missing documents, unexpected transactions, and personnel charges that may need to be corrected, alerting the Finance Manager to make corrections. •Fiscal Transactions: Process fiscal transactions such as journal vouchers as needed. Work with the finance team to ensure proper documentation and adherence to university policies. •Student Funding: Collaborate with department's Finance Manager, SOM Graduate Education office, and faculty mentors to complete the student funding process for all graduate students trained in the department. Research and correct any issues that arise
Qualifications
Minimum Qualifications
•Strong organizational and time management skills. •Excellent attention to detail and ability to work with financial data. •Proficiency in MS Office Suite (Excel, Word, PowerPoint) and VCU systems. •Experience with GradTrak or similar VCU System •Ability to manage multiple tasks simultaneously and prioritize effectively. •Strong written and verbal communication skills. •Ability to work independently and collaboratively in a team environment. •Professional demeanor and ability to interact with students, faculty, and staff in a customer service-oriented manner.
•Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU.
