Receptionist
to be the first point of contact for our residents, visitors, and team members. This role is key to maintaining a welcoming, professional front desk and ensuring smooth administrative operations.
Position Summary The Receptionist provides exceptional customer service, manages front desk responsibilities, and supports day-to-day administrative operations. This position plays a vital role in making a positive first impression while maintaining the flow of communication throughout the facility.
Shift:
This position is scheduled
Thursday through Sunday, from 2:00 PM to 10:00 PM , including weekends and evening hours.
Key Responsibilities Greet and assist all residents, visitors, families, and vendors in a courteous and professional manner Answer and direct incoming phone calls promptly and accurately using a multi-line phone system Maintain a clean, organized, and clutter-free front desk and lobby area Support staff by performing administrative tasks including word processing, data entry, filing, and departmental calls Monitor and control building access by following established visitor protocols and documenting entries Receive, sort, and distribute mail, packages, equipment, and resident deliveries promptly Maintain office supply inventory and order items weekly to ensure adequate stock levels Refill and maintain printer/copier supplies (paper, toner); promptly arrange service if needed Ensure shred bins are emptied when full and coordinate with appropriate services Communicate important messages clearly to the intended recipient in a timely manner Report any resident issues or concerns to the Administrator immediately Collaborate with housekeeping/maintenance for cleanliness and repair needs in the front lobby area Assist department heads with general office support as requested Perform other duties as assigned by the Administrator Qualifications
High school diploma or equivalent required Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Excellent verbal and written communication skills Ability to multitask, stay organized, and remain calm under pressure Professional appearance and demeanor Strong attention to detail and follow-through Friendly, tactful, and resourceful with problem-solving skills Physical Requirements
Must be able to move throughout the workday and sit for extended periods Able to push, pull, lift or move up to 25 pounds and carry items over a short distance Must be able to cope with the mental and emotional demands of a front-line customer-facing position Must speak and write English fluently and professionally May be required to assist in evacuations or emergency situations Why You'll Love Working Here
