JOB SUMMARY
The Department of Anesthesiology and Pain Management is seeking a highly organized, detail-oriented, skilled, and reliable Program Coordinator, Sr., to join our leadership team and oversee workforce scheduling operations and partner with our data office to coordinate data management efforts. This role is of utmost importance as it directly supports our clinical faculty, ensuring the day-to-day accuracy of scheduling platforms and data validation processes used to track clinical effort, KPIs, and support compensation workflows.
The person in this position will take full responsibility for managing QGenda and Total Professional Effort (TPE) updates, thereby relieving faculty of a significant administrative burden. The role also includes partnering with internal teams and external partners, with a particular focus on supporting accurate data reporting and monthly invoices with the VA Medical Center. The role will also require participation in other departmental projects and initiatives as assigned.

EXPERIENCE AND EDUCATION Required
Education Bachelor's Degree In Business Administration, Health Care Administration, Education/Social Science, or related field
Experience 7 years Experience in appropriate field and May consider additional years of experience in lieu of education.
Preferred
Experience
Proficiency with Microsoft Excel and database management. Previous experience in project management or consulting, especially in settings such as healthcare, academic medicine, or operational strategy.
Familiarity with scheduling systems such as QGenda or similar workforce platforms. In lieu of no experience with QGenda, the candidate would need to be comfortable to quickly learn a new system.
Ability to communicate effectively and maintain professional relationships with faculty, leadership, and external partners.
Strong organizational skills and ability to manage competing priorities independently.
Willingness and ability to travel locally to regional sites across DFW at least once per month.
Education
Master's degree (MBA, MHA, or similar) strongly preferred.
JOB DUTIES
As the Program Coordinator, Sr., you will be responsible for maintaining and updating QGenda and TPE schedules daily, which will involve ensuring alignment with clinical assignments and departmental needs, a task that requires attention to detail and a proactive approach to problem-solving.
Collaborate with the data analytics team and Vice Chairs to confirm the accuracy of data used in Additional Hours Worked (AHW) and Work Done Outside (WDO) compensation calculations, and future KPIs.
Identify and resolve scheduling discrepancies through regular communication with faculty and administrative staff.
Serve as the department's liaison for VA-related invoicing activities, including preparing documentation and attending required monthly meetings at the Dallas VA Medical Center.
Track key financial and operational data related to clinical effort and scheduling.
Contribute to department-level initiatives aimed at improving workflow, reducing administrative bottlenecks, and supporting process improvements in clinical operations.

Develops and/or oversees development of budget for program.

Establishes program goals and objectives and directs program evaluation and quality control activities; develops and/or approves schedules, priorities, and standards for achieving goals.
Recommends new policies and procedures for improvement of program activities.

Responsible for design, execution, and effectiveness of system of internal controls, which provides reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable.
Ensures compliance with applicable laws, regulations, policies, and procedures.
Coordinates training and development of staff as necessary.
Reads literature and attends functions to keep abreast of relevant scientific and technical developments related to program.
Serves on committees as representative of assigned program as appropriate.
May provide supervision to staff members.
Performs other duties as assigned.
