Position Overview We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support our executive team. This individual will spend approximately 50% of their time supporting the Chief Operating Officer (COO), who oversees a large-scale, complex project and travels frequently. The remainder of the role will be evenly split supporting the Chief Financial Officer (CFO) and the Chief Communications Officer (CCO). This position is ideal for someone who thrives in a fast-paced environment, has strong project coordination skills, and is comfortable working with AI tools and digital platforms to enhance efficiency. Key Responsibilities COO Support (50%) Coordinate a dynamic and frequently changing calendar across multiple time zones. Arrange and manage complex domestic and international travel itineraries as needed. Support large project oversight by assisting with task tracking, meeting agendas, timelines, and milestone reviews. Prepare briefing materials, status updates, and follow-up documentation from project meetings. Act as a liaison with internal and external stakeholders to keep project activities on track. Leverage AI tools (e.g., ChatGPT, scheduling automation, project dashboards) to increase executive productivity. CFO & CCO Support (25% each) Schedule and manage meetings, deadlines, and recurring reports. Assist with payroll administration, employee onboarding, expense tracking, accounts payable and receivable (AP/AR), preparing cost estimates, and coordinating events. Organize digital and physical filing systems; assist with document preparation and editing. Coordinate logistics for board meetings, investor relations events, and communication initiatives. Assist with research, drafting, and proofreading of financial reports and communication materials. Monitor shared inboxes and help prioritize responses when necessary. Qualifications Minimum 5 years of experience supporting C-level executives in a fast-paced, high-growth environment. Demonstrated experience with project coordination or light project management. Highly proficient with Microsoft Office Suite, and collaboration tools like Zoom, Slack, Asana/Trello, and Docusign. Experience using or willingness to learn AI tools to improve workflow and communication. Strong written and verbal communication skills. Ability to handle confidential information with discretion. Exceptional attention to detail and follow-through. Highly organized, flexible, and proactive. Preferred Familiarity with executive support in engineering, infrastructure, or large capital project environments. Prior experience working in a public or investor-facing company. Why Join NioCorp?
