Support/Receptionist Reports To: Controller POSITION SUMMARY Answers the phone, schedules appointments, gives information to callers, prepares correspondence, and otherwise provides clerical and minor administrative functions for Accounting, Engineering and Admin staff. We are looking for an individual who can create a welcoming environment for visitors and staff. This person will ensure that all calls and inquiries are handled promptly and professionally. This role will involve coordination and communication among various departments. It will require organization, follow-up, and follow-through mentality. The Candidate will provide a positive and efficient atmosphere while assisting with administrative tasks to ensure operational efficiency within the company. Great attendance and punctuality is essential for success. ESSENTIAL FUNCTIONS: Manage and forward all incoming calls to various employees. Welcome and Greet Customers, Vendors, and Guests during their onsite visits in a professional and courteous manner. Go to Post Office and pick up mail. Open, date stamp, sort, and distribute incoming mail. Provide Support to Admin and Engineering Staff in a prompt, courteous, and accurate manner. Order and maintain office supplies, required to log and file all prints and drawings that come in for quoting or production. Set up and manage virtual meetings, data entry, filing and other administrative duties as assigned. Excel, Word, and PowerPoint experience is preferred. Compiles reports as well as brochures, and other literature as needed. Make copies of correspondence or other printed material for staff at various times. Schedules and maintains conference room use for meetings, as well as pre-meeting prep prior to customer visits, as well as maintains counter/coffee area Capable of working in a team environment & open to receiving directions from others. Strong organizational and communication skills are necessary. Prior Admin Assistant experience is a plus. QUALIFICATIONS: High school diploma or equivalent required. Good organizational skills Knowledge of office equipment, Knowledge of Microsoft Office products a must. (Excel, Word, PowerPoint)
