CLP Engineering (CLPE) is hiring a new team to support our USACE contract working on Joint Base Lewis McChord. We're seeking a
Project Administrator/Project Coordinator-USACE
for a key role onsite as the Liaison between construction field teams and engineering/design staff, and ensure project objectives, documentation requirements, and schedule commitments are met. CLPE is a full-service electric utility solutions engineering firm with more than twenty years' experience in electrical utility system ownership, upgrades, maintenance and operations through our sister company, City Light & Power. CLPE offers a wide range of power system engineering services to investor-owned, municipal, cooperative, government, industrial, and commercial customers. Duties and Responsibilities: Manage submittals, document control, preconstruction and closeout documentation, project meeting coordination, and general administrative duties to support daily project operations. Administer project document control procedures, ensuring accurate documentation, organized filing, and compliance with project and contract standards. Manage flow of project documentation including submittals, RFIs, purchase orders, change orders, and compliance records. Manage submittal tracking, packaging, and reviewing for completeness and accuracy prior to routing for formal approval. Collect, assemble, and submit preconstruction plans and closeout packages in accordance with project specifications and contract requirements. Schedule, coordinate, and document project-related meetings; Prepare meeting agendas, document and maintain comprehensive and accurate meeting minutes, including tracking action items to closure. Maintain and update project reports, document registers, and distribution logs. Assist with project billing, invoice preparation, purchase orders, pay applications, and change orders. Maintain and support project cost tracking documentation in coordination with project management staff. Proactively suggest, develop, and implement process improvements and procedures to streamline documentation management, communication, and overall project execution. Act as Liaison with subcontractors and vendors regarding administrative, documentation, and submittal requirements. Coordinate timely receipt and routing of subcontractor and supplier documentation to ensure compliance with project specifications and schedules. Provide professional and timely communication with client and subcontractors regarding administrative matter Other duties as assigned. *Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Skills & Qualifications: Minimum of two (2+) years of experience in project administration, document control, or construction coordination roles, with direct experience in USACE or other federal construction projects required. Strong administrative skills with experience managing project documentation and compliance tracking for federal projects. Proficiency in Microsoft Office Suite (Word, Excel, Outlook), BlueBeam, RMS and project management/document control platforms. Familiarity with submittal tracking, RFIs, change orders, preconstruction planning, project closeout procedures, and federal documentation standards. Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment. Professional verbal and written communication skills with a focus on accuracy and compliance. Work Authorization/Security Clearance: You must be a US Citizen. You will be required to obtain Military Base Access Security Clearance. A valid driver's license with a record that meets the CLP Fleet Policy is required. Salary range: $70,000-$85,000/annual based on experience plus eligible to participate in Short Term Incentive Plan.
