Role: Facilities Administrative Assistant (Non-Exempt) Location: New York City (Downtown Financial District) Purpose of Role: Facilities / Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office, equipment, manage property, insurance renewal, asset, fire and safety related matters and etc. Assisting and supporting Division Head on administrative affairs, various tasks, assignments, and ad hoc projects. Provide assistance with draft/revise policy and procedures, processing payments, and any other administrative related projects for the Division. Major Responsibilities: Responsible for building and office maintenance and operation related matters, including communicate and work with building manager/ engineer, security guard, cleaning staff, insurance company and other relevant contractors. Responsible for reviewing and solving issues to proposal, invoices, bills, reports, contract, agreements, etc. Prepare internal memo for management approval. Responsible for insurance renewal related matters. Responsible for fire and safety related matters, including preparing drills, inspections, trainings, reports, testing, announcements. Responsible for Bank’s administration related matters, including implement ESG related requests, pandemic testing, physical security, office supplies, office equipment, purchasing, vendor management, etc. Responsible for the maintenance of Bank’s dormitory, car and various equipment, managing asset inventory. Responsible for draft and revise Division’s policy, procedure and manual. Assist and back up for purchase orders and manage inventory of office supplies. Assist and back up for mail delivery, phone operator and payment processing. Assist for medical, dental, life, AD&D insurance enroll, change, terminate and related operations. Assist for making payment transactions to the Bank’s service provider. Assist with Division ‘s important projects and Bank’s events. Ad-hoc projects as requested or assigned by Division Head.

Skills, Competencies and Experience Preferred: Basic Skill on Microsoft Word, Excel, Power point and Outlook. Ability to effectively communicate via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. Proactive work attitude, initiative, independent, stable personality and high sense of responsibility. Has basic knowledge with purchasing, billing and mechanics. Driver’s License required Fire and Life Safety Director License (F-89) is required upon being hiring. Strong analytical, communication and computer skills. Bilingual in Mandarin and English College degree preferred
