Notre Dame Preparatory School
Notre Dame Preparatory School, a Catholic, independent, college preparatory school for girls in grades 612 located in Towson, Maryland, is seeking an Office Manager to join our Advancement team. This role supports the smooth daily operation of the Advancement office while assisting in general fundraising, stewardship and alumnae relations efforts, with an emphasis on events. The ideal candidate is enthusiastic about fundraising, stewardship, and events, detail-oriented, and an excellent communicator who thrives in a busy and collaborative environment. This position is full-time for 12-months.
Responsibilities
- Serve as first point of contact for alumnae, parents, donors, and friends who have Advancement inquiries
- Oversee daily administrative operations: phones, outgoing and incoming mail, supplies, scheduling, and files; assist Director of Advancement with scheduling and administrative duties as needed
- Monitor inventory and place orders for office/event supplies, including kitchen for office
- Manage department budget in coordination with the Director of Advancement; submit invoices and expenses to be paid to Finance
- Mail mass cards to honor deceased alumnae and friends; maintain lists for annual Roots and Wings magazine
- Assist with Raisers Edge/NXT data entry and support, when requested
- Assist with all in-house appeals and mailing by preparing mail merges and mailing labels; stuff and mail letters
- Assist with Advancement events: Alumnae Weekend, Blazer Dash, Gala, Leadership Reception, Scholarship Breakfast, Alumnae Bingo, Pledge for the Prep and Blazer Raiser phonathons, and more. Some tasks include:
- Prepare mailing labels, merge letters, and stuff and mail invitations or letters
- Maintain registration lists and pull reports for colleagues
- Prepare name tags for guests
- Assist with event preparation, setup, and logistics as needed (room set-up, guest seating, transportation of supplies, purchasing of donor and volunteer gifts, and more)
- Attend and staff all events, possibly at off-site venues
- Assist with donor thank you letters and invoices for events
- Work occasional evening and weekend events as needed (flex hours are possible)
- Provide event support the weekend of the Gala
- Prepare check-in documents and monitor guest changes
- Coordinate registration for the Gala, working with other members of the Advancement team and volunteers
- Assist with raffles and other event needs during the event (auction check-out, volunteer assistance, etc.)
- Assist with final cleanup and inspection of the venue
- Assist with auction basket pickup after the event at school
- Bachelors Degree strongly preferred
- Three (3) years of related work experience preferably in a school setting.
- Experience with events and/or project management preferred.
- Highly detailed-oriented.
- Ability to prioritize work and perform multiple tasks simultaneously while adhering to deadlines.
- Exhibit a professional demeanor and maintain confidentiality of data and constituent information.
- Works well as a team member as well as independently.
- Strong knowledge of Microsoft Office applications required.
- Experience with OneCause/event software, Constant Contact or similar products a plus.
- Experience with Raisers Edge a plus
