Duties & Responsibilities
  • Provide administrative support to Executive team, RISE, and support an office with 120+ associates
  • Manage Broker Licenses for Regional Managers & CEO
  • Oversee Rental Registration and Inspection Ordinance (RRIOs) in Seattle
  • Maintain property business licenses (State and City) and Certifications of Insurance
  • Head up Home Office Vision planning & culture initiatives
  • Manage travel booking and coordination for Executive Team
  • Contributes to updating and improving home office operational systems
  • Oversee vendor relationships such as cleaning services, repairs, etc., and serve as the primary point of contact with the building owner(s)
  • Oversee expense reports for the RISE team
  • Facilitate home office orientation for new home office hires
  • Oversee updates to Home Office operational manual/policies
  • Manage Home Office contracts such as lease agreements, partnerships, etc.
  • Manage our DocuSign account and routing documents for signature to Executive Team
  • Head up home office recognition initiatives such as first day of work, work anniversaries, birthdays, etc.
  • Plan & coordinate monthly happy hours, Best Workplace events, holiday celebrations, etc.
  • Serve as the Department Liaison for all home office departments to foster collaboration
  • Manage Thrives online swag store
  • Works with COS and CMO on execution of Strive to Thrive initiatives
  • Collaborate with the Front Desk Manager to improve systems and efficiency
Desired Skills & Experience
  • 5+ years experience in an Executive Assistant or administrative role supporting Executive and C-Suite level positions and an office with 100+ employees, or relevant experience in order to meet the expectations of the role
  • Associates or Bachelors degree in business or related field
  • Property Management or Real Estate industry knowledge and/or experience is a plus
  • Proficient in Smartsheet and Microsoft Office Suite (Excel, Word, PowerPoint)
  • Prior experience with overseeing and/or creating and staying in line with budgets
  • Experience with Canva or other basic graphic design software

  • Ability to work independently while working effectively as part of a broader team
  • Ability to use critical thinking to discern priorities personally and for the department
  • Ability to maintain confidentiality with sensitive information
Work Environment & Physical Requirements
  • Stand, walk, or sit alternatively depending on specific needs of the day. Estimated that 10% of the time is spent on feet and 90% sitting at desk.
  • Must be able to lift to 15 pounds, on occasion
  • Ability to travel locally for events or meetings (10%)
  • Hybrid work environment may be available
