Administrative Support To Vice President Of Supply Chain & Quality
This position will provide administrative support to the Vice President of Supply Chain & Quality. Duties include, but are not limited to, the following: Assist in developing communications and presentations on a variety of initiatives and issues. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as managing executive calendar, preparing correspondence, receiving visitors, arranging conference calls, arranging travel, and scheduling meetings. Maintains organizational charts for the division. Create spreadsheets and manage databases. Prepare and/or edit documents, such as expense reports, memos and invoices. Create spreadsheets, manage databases, and prepare presentations. Support administration of the Supply Chain & Quality salary plan. Maintain personnel ranking files. Maintain overhead budget. Maintain vacation schedules for Supply Chain & Quality staff and communicate back-up coverage. Overall division administration of various tasks such as WFM, overtime payments, conference rooms, supplies, etc. Provide administrative support to Supply Chain & Quality directors. Facilitate meetings when appropriate. Support special projects as requested. Required/Preferred Education/Training: Associates Degree in Secretarial Science preferred. High school diploma or GED required. Required/Preferred Experience: 5 years administrative support experience required. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Project and Visio). Familiarity with office software and communication tools. Experience in compiling and preparing reports and presentations. Ability to work independently, with initiative, in a fast-paced environment with multiple tasks. Excellent organizational skills and attention to detail. Ability to facilitate meetings successfully. Proven ability to deal with confidential information. Effective problem-solving and decision-making skills. Exceptional written and grammatical skills with the ability to draft correspondence.
