Gift Management Coordinator
The Gift Management Coordinator ensures the accurate and efficient processing of a high volume of gifts, in compliance with accounting practices, college policies, industry standards, and local, state, and federal regulations. Oversees the gift acknowledgment system, ensuring all contributions are recognized appropriately. Job duties include but are not limited to the following: Processes gifts and addresses any issues that arise during gift processing, offering effective solutions. Evaluates the eligibility of third-party charitable gifts and ensures proper donor crediting. Develops and maintains a robust system for procuring matching gifts. Collaborates with gift officers to establish new designations that align with donor intentions while adhering to relevant regulations and college policies. Conducts research on biographical and gift information as needed to ensure accurate processing. Works alongside gift officers to create, acknowledge, and apply pledges and pledge payments appropriately, while managing the reminder process for Annual Fund and Lynx Club pledges. Manages specific modules of the gift database, ensuring the integrity of all development constituencies through meticulous tracking and maintenance. Collaborates with the Information Services and Institutional Research departments to update and enhance the development database as necessary. Assists in collecting and entering data sets, while maintaining an organized filing and record-keeping system for gift and biographical documentation. Determines the most appropriate method for acknowledging all gifts and manages the notification process accordingly. Monitors and verifies matching gifts from various companies to ensure proper recognition. Requests funds for gifts designations from the Finance department, ensuring adherence to college policies, accounting standards, and industry best practices. Provides support with gift classification, research, and auditing to facilitate accurate financial reporting. Coordinates the mail and email calendar for development and alumni staff, ensuring alignment and efficiency. Maintains a schedule of recurring data processing tasks and oversees the system for mailing updates to alumni regarding career and personal milestones, as well as milestone birthdays for their children. Prepares and processes additional mailings to constituents as needed. Communicates with donors via phone or email regarding payments, tax documents, and other inquiries. Creates and updates reference documents related to this role. Collaborates with the Executive Director of Development Operations and Donor Relations, as well as the Director of Gift Management, to design and implement a comprehensive database training program for development and alumni staff members. Generates both scheduled and ad hoc reports for development operations, as well as for requests from development and alumni staff. Develops new reports as needed to meet specific requirements. Fills in for other development operations roles during vacations and absences, providing support as needed during peak workload periods across the team. Job requirements: High school diploma or GED required; bachelor's degree preferred. Two years of experience with database management and reporting required OR bachelor's degree required in lieu of experience. Must have a working knowledge of accounting procedures Must be proficient with Microsoft Office Suite in Windows environment and internet use/searches Must be attentive to detail, accurate, have a pleasant telephone manner and be able to conduct phone inquiries Receptive to requests Able to meet pressure of deadlines Able to perform repetitive tasks without supervision Able to set priorities and organize tasks for efficiency Knowledge of Raiser's Edge, Omatic, Banner and/or Workday software in a non-profit/fundraising setting preferred A complete application includes a cover letter and a resume.
