The Advancement Associate plays a vital role in supporting Achieva's fundraising, donor engagement, and overall advancement operations. The position focuses on managing donor data and processing contributions, supporting fundraising campaigns, and providing administrative and event-related support for the Advancement team. This role requires strong attention to detail, a data-driven mindset, and the ability to work both independently and collaboratively to help advance Achievas mission of empowering individuals with disabilities and their families. Key Responsibilities Include:

Record all charitable contributions, including in-kind gifts, into the fundraising CRM. Maintain constituent records, ensuring all contact information, gift history, and activity are accurate and up to date. Import and code donation data from online forms and program platforms. Reconcile daily and monthly gift transactions with the Finance Department and allocate gifts per donor intent. Perform regular data audits, manage duplicate records, and ensure high data quality and consistency. Monitor pledges and prepare donor invoices or reminders as needed. Fundraising & Donor Support

Generate donor acknowledgment letters and tax receipts in a timely and accurate manner. Support donor cultivation and stewardship activities through data reports, donor tracking, and prospect research. Prepare weekly and monthly donor updates and campaign progress reports for executive leadership. Assist with tracking appeal performance and campaign source attribution in the CRM. Event & Campaign Support

Assist with planning and logistics for fundraising and stewardship events, including managing RSVPs, auction data entry, registration, and donor check-in. Enter and manage auction and event items in GiveSmart, ensuring appropriate fair market values and package descriptions. Coordinate with Communications on campaign-related materials, online donation forms, and donor recognition. Generate mailing lists and segment data for event invitations, sponsor brochures, and appeal mailings. Administrative & Advancement Support

Schedule and coordinate meetings for the Advancement team; prepare agendas, take minutes, and follow up on action items. Maintain organized digital and paper filing systems for donor and departmental records. Prepare purchase orders, check requests, and other internal documentation related to fundraising activities. Support interdepartmental communication and act as liaison with Finance on gift reconciliation and donor fund allocations. Provide support to the front office several hours each month. Grant & Membership Support

Track grant deadlines, assist with data entry for grant applications and reports. Maintain membership records and assist with related reporting and communications. Support the preparation of materials for grant submissions and stewardship. Qualifications

Bachelors degree or equivalent experience in nonprofit development, fundraising, communications, or related field. Minimum 1 year of experience in a development or advancement role preferred. Proficient in donor databases/CRM systems. Strong skills in data entry, database reporting, and use of Google Suite or Microsoft Office tools. Excellent written and verbal communication skills. Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities. Demonstrated ability to work independently and within a collaborative team environment. Customer-service orientation and professionalism in dealing with donors, colleagues, and external partners. Passion for Achievas mission. This position may require occasional evening or weekend hours for event support. Hybrid or remote work flexibility may be available based on organizational needs.
