In this role, you will have the opportunity to support the planning, design, implementation, communication and administration of BV retirement programs and Global Employee Ownership Plans. These programs support a global workforce of approximately 10,000 professionals. This position reports to the Global Benefits Director. Key responsibilities include: Responsible for the daily interface with internal clients - BV professionals, HR, Payroll, Treasury and Employee Ownership Relations in the administration of company retirement programs, deferred compensation plan, Employee Stock Ownership Plan (ESOP) and Global Employee Ownership Plan (GEO). Perform all aspects of U.S. retirement plan administration including setting up and maintaining plan specifications both accurately and timely; Work with benefit vendors to ensure quality service to plan members and facilitate all necessary compliance testing, reporting, and processing. Review fees and process invoices/wires for plan services. Manage plan transfers, eligibility, loan delinquencies and deduction adjustments as needed. Manage the enrollment process and election entry for both the Puerto Rico Retirement Plan and Deferred Compensation Plan. Create and maintain Puerto Rico Plan quarterly match calculations. Maintain weekly, bi-weekly, quarterly, annual and ad-hoc reporting. Manage benefit deduction reports and prepare wires for each payroll cycle. Review non-qualified plans FICA taxable employer vested amounts and create file for payroll processing. Create and upload files to vendor site as needed. (Qtr. Adj. payroll). Coordinate with ERISA counsel on Administrative Committee-approved plan design changes, amendments, and regulatory compliance. Coordinate and provide deliverables for the annual qualified retirement plans audit. Ensures all plans are compliant with state and federal regulatory requirements including discrimination testing, filing of 5500 and audited financials for qualified retirement plans; trust accounting, government reporting. Provide timely and accurate information for plan audits to accountants, clients and regulatory entities. Present Retirement Plan highlights at weekly new hire benefit call. Schedule and promote financial education sessions for B&V professionals. Create and maintain plan communications in HR Support Center system (Zendesk) and link to related SharePoint sites. Respond to HR Support tickets assigned by HR Service Center. Partner with HRIS on system updates and testing and maintains web security for plan recordkeeper site access. May perform other duties as assigned. Minimum qualifications include: Bachelor's Degree in business-related field, HR, or equivalent experience. 4+ years HR related experience to include retirement plan administration, reporting and reconciliation. All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations. Preferred qualifications include: Knowledge and relevant experience in compliance related to ERISA, IRS and DOL regulations regarding benefit plan operations. Successful prior project management experience. Ability to prioritize workload to align with requests and standard daily processes. Advanced knowledge in Microsoft Office products Strong analytical skills: process and detail orientated. Demonstrated effective communication skills, both oral and written with the ability to influence across matrixed teams at all levels. Professional attitude and demeanor with proven customer service experience and problem resolution with a commitment to quality PeopleSoft or Oracle Cloud experience. Perseverance and the ability to deal with ambiguity. ESOP reporting and reconciliation Client relationship management skills, strategic and organization agility. Executive presence and comfort interacting with top executives and members of the Board of Directors. Process improvement and documentation. Hybrid or flexible work options may be offered after the first 90 days of employment based upon manager discretion, job performance and work assignments.
