Receptionist Associate
Williams Lea is hiring for a Receptionist Associate for our New York office to work Monday to Friday, 8:00 am to 5:00 pm! Coordinate with meeting hosts to confirm guest arrivals, room assignments, and service requirements. Monitor and manage meeting schedules using Condeco, ensuring conference rooms are prepared and reset on time. Process booking requests, advanced scheduling, and updates in coordination with administrators. Manage visitor access by preregistering guests in Sharry and issuing QR codes for building entry. Facilitate catering and beverage service requests, coordinating with the Hospitality team. Maintain a clean, organized, and professional reception desk and lobby area. Communicate service needs, changes, and issues promptly to relevant teams via email, phone, or Teams. Assist with AV/IT requests by following established procedures and liaising with support teams. Conduct daily and end-of-day walkthroughs to ensure all conference rooms and lounges are clean, stocked, and ready. Handle lost and found items in accordance with established procedures. Send weekly meeting confirmation emails to administrators for the following week's schedule. Job qualifications: High school diploma or equivalent. Minimum of two-year receptionist, switchboard or administrative assistant experience required preferably in a banking, legal or large corporate environment. Exceptional customer service skills to effectively greet and communicate with callers and visitors. Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and greet visitors. Ability to work in a fast-paced team environment. Ability to effectively and professionally communicate with co-workers and clients. Attention to detail with an emphasis on accuracy and quality. Intermediate computer skills including Microsoft Word and Excel. Ability to prioritize work to balance multiple projects and deadlines. Excellent verbal and written communication skills.
