Job Description: Ryan Companies is hiring for an Office Manager in our main headquarters in downtown Minneapolis. This individual provides day-to-day oversight for the Corporate Regional Office to create a highly effective and functional office consistent with Ryan's standards for employees, customers, vendors, sub-contractors, and guests. Some things you can expect to do: Support growth of regional office and be responsible for coordinating the onboarding of new office and field staff, negotiating purchasing/leasing and service contracts on all business machines, and negotiate shipping contracts and vendors Maintain current office floor plan with workstation assignments and changes, order and adequately stock office supplies, schedule meetings with internal and external customers, maintain a professional office environment Coordinate with internal and external partners on service contracts, vendors, schedules and budgets for office upkeep such as cleaning, furniture updates, finishes refresh and similar tasks. Assist with operations by: Internal and external customer/client assistance Processing invoices, handling mail, and managing correspondence Ordering office supplies and equipment Covering the phone and front desk as needed Provide administrative support for select staff by: Editing documents Drafting letters, memos, emails, etc. Maintaining calendar appointments Coordinating travel arrangements & map destinations, compiling and distributing itineraries Coordinating meetings by preparing and distributing agendas and meeting materials, ensuring logistical accommodations, arranging for special needs, working with internal and external partners (IT,AV, etc.), and coordinating meals. Assisting with team registrations and sponsorships, preparation and submittal of expense reports, and file management Provide Regional support by: Organizing company events (i.e., open houses, groundbreakings, staff events, career fairs, etc.) with internal and external partners and vendors.maintaining budgets, coordinating logistics and providing event oversight to ensure success. Assist in preparation of proposals, Prepare presentations and provide minor marketing support Assisting with special projects and ad-hoc tasks as needed Manage receptionist and mail room staff as direct reports. To be successful in this role: You must have at least 2 years of experience in office management. A high school diploma or equivalent is required. You need the ability to maintain confidentiality of company information and have a heart of service for both internal & external customers. Knowledge of Microsoft Office Suite/Microsoft 365 including Word, Excel, PowerPoint, and Outlook is expected. You should have experience in a construction/engineering/design environment. Compensation: The rate is $35.00 - 45.00 per hour. The annual base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills and abilities.
