Position Summary
The Event Sales Manager is responsible for driving full cycle event sales, planning, and seamless execution of corporate and social corporate events—including weddings, fundraisers, business meetings, and social gatherings. This dynamic role combines client-facing sales with detailed event coordination and on-site management. The ideal candidate brings hospitality and sales experience, experience with development, and the organizational skills to manage events from inquiry through execution.
Essential Duties & Responsibilities
Event Sales & Business Development
- Cultivate new and sustain existing client relationships; proactively solicit new business through outreach, networking events, referrals, and partnerships with local organizations.
- Field all event inquiries and correspondence and respond in a timely, professional manner.
- Source, qualify, negotiate, and close event sales at The Yacht Club.
- Produce all proposals, contracts, and client-facing materials. Verify the accuracy of pricing on estimates and invoices. Manage the complete billing process for events.
Event Planning & Coordination
- Coordinate and meet with clients regarding items including but not limited to event menus, floorplans, timelines, activations, insurance, transportation, permitting, and any equipment needs.
- Coordinate and conduct site visits, walk-throughs, and tastings as required.
- Create and deliver thorough, well-organized Banquet Event Orders (BEOs) and ensure alignment across all departments.
- Suggest process improvements and contribute to the development of event offerings.
Event Execution & Operations
- Engage in meetings with chefs and managers to effectively communicate all operational details for upcoming events.
- Lead or support day-of event operations, ensuring high service standards and real-time problem-solving.
- Work closely with restaurant staff to ensure smooth event setup, service, and breakdown.
Administrative & Reporting
- Maintain detailed records using event booking and reporting software (Toast).
- Prepare and update sales reports, client communications, and post-event evaluations.
- Ensure thorough and timely documentation of event logistics, billing, and client feedback.
Minimum Qualifications
Minimum Qualifications
- Minimum 2–3 years of experience in restaurant or hospitality event coordination with sales responsibilities.
- Proven experience coordinating events of 150+ guests, including weddings, fundraisers, and corporate functions.
- Proficient in event software; working knowledge of Google Suite, Toast, and Resy.
- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities; detail-oriented and methodical.
- Effective problem solver with a guest-first mindset.
- Fine dining or upscale restaurant experience is strongly preferred.
- Ability to perform essential job functions when working in a high business volume, fast-paced environment.
- Ability to walk, stand, and/or bend continuously and for extended periods of time as required to perform essential job functions
- Able to lift 30+ lbs.
- Willing to help other coworkers
- Able to work nights, weekends and holidays, and variable schedule, per the needs of the business
- Fluent in both written and spoken English
- Willingness to work in outdoor climate conditions
